Who picks the wedding day timeline

Katy, on January 29, 2022 at 8:03 PM Posted in Planning 1 6
Hi all, I am doing a lot of my own decor and such for the wedding and trying to get as much done ahead of time as possible to save me the stress because no one seems to want to help 🤷‍♀️. My question is who decides the timeline for the day? Can I make it whatever I want? Do I need to converse with the caterer and dj and such? Or can I decide ceremony is this time, dancing this time, dinner this time and so on. I have a board where I want to write out the itinerary for the night and would like to get it done sooner than later to check one thing off my list.

Definitely talk to the caterer as they might have some requirements you need to take into account, but other than that it’s up to you.

I made my timeline by discussing with my venue (catering through them), dj, and photographer. They are the professionals and know approximately how long each thing takes.

The venue we chose has set times for evening weddings which is ceremony at 5:30 followed by cocktail hour at 6 and reception from 7-11pm. Our DJ will play music during all of the above.

It may depend on your venue. Our church had 2 start times we could choose from. I picked the earlier on and planned from there. My photographer gave a timeline from their perspective, but we got to pick the big things (what time we wanted dinner, when the reception would start, etc). My hair stylist gave me their start time.
Reach out to your big vendors (venue, caterer I would think are most important) and start there and build out.

I made a "draft" version just for my own reference and organization, but for the actual timeline it was a joint effort between the caterer, venue coordinator (could also be a day of coordinator), photographer, hair-and-makeup aritst, and DJ. They all contributed their own "pieces" of the timeline and I put everything together. However, this wasn't really possible to complete until about 3-4 weeks before the wedding (actually I didn't FULLY complete the timeline until like a week before).

Unless you have a wedding planner, you are responsible for creating the timeline.

To start, work around your ceremony and reception start times and the 'bump in' and 'pack down' times for each event.

For instance, if your ceremony begins at 3pm, the setup/bump in time might be 2 hours before the event begins (check with the venue or if they don't have one, speak to your vendors about what is reasonable) and thereafter consult your vendors to confirm how much time they need and when they plan on arriving.
