Totally freaking out- invited more people than room can accommodate! What should I do? Anxiety attack coming..

We guaranteed 170 people, but the room can hold up to 220 people (max.). I sent invitations to 297 people. The wedding is in South Florida, and a few people live out of state and most likely wont come. But I just assumed all those in state would and my count for those I think are actually gonna come came to 256. HELP! I am freaking out now. Do I tell anyone over the 220 that too bad, sorry we are out of room? I really dread having to do this. Any advice?

    Yea, you can't do that. You will have to figure something out at this point. Maybe there is an adjoining room or something?

    Was in a wedding in December with this problem. Rent tents so that guests can be outside. It will be pricy, but gotta go did to accommodate!

    Yeah, tents sound like the best bet--people can rotate in and out. Is your wedding in the evening? If so, at least you'll be past the peak heat of the day.

    Yeah, reading over your post again, on what are you basing your assumption that you'll have this many people? When did you tell people to RSVP by?

    I'm sorry to hear that. Did you know you were over occupancy when you sent out invites? I'm too afraid to send out extras as just in cases for this exact reason. Maybe talk to your venue and see-like stated earlier-if there is an adjoining room or go with the tent idea. Good luck!!

    Rule of thumb is about 75-80% of your invited guests will actually come. 80% puts you at about 237. 75% puts you at 223. Ok I hate to ask a "dumb" question but why did you send out that many invites? Have your guests RSVPd yet?

    Ouch, you really should have made sure you knew the max number the room held before you sent invites out. See if your site has a bigger room or an additional room to accommodate the overflow. If neither of these is an option then you will be stuck with the unpleasant task of letting people know that you miscalculated and invited too many people.

    I'm with Ladylee not all the ppl you invite are going to come and if you start telling ppl nvm now, you'll have way less than you expected. Honestly on 75% is going to come

    Wow, thank for the effin' support. I didn't post this to be asked stupid questions or to be told that that was not very smart! I did it because many of the guests do not have the money to attend and I figured we would be fine. At the last minute people were added, people my father assumed were invited. Glad to see the bitch come out of some people. I was writing for support, not to question my intelligence!

    And you know, not sure what you mean by being "asked stupid questions," but your original post really DOESN'T make it clear if you are guessing about attendance or if you have firm RSVPs. Either way, I have to agree that at this point I'm questioning your intelligence.

    Chill out Amie, really you did put yourself into this position. People did you give you some helpful advice. These ladies were actually being very nice at pointing out that it wasnt a smart decision. If you post in a public forum, you really do need to expect the public to have an opinion.

    Amie, most of these posts are trying to be helpful or at least clarify a point in order to give better help. First step, don't panic.

    -Did all those people actually RSVP yes?

    If no, then some of those people may still respond no, so don't panic yet, it may be more manageable.

    If yes, like ladylee said, are kids included in this count? They would be the easiest to cut from the guest list if you just make it an "adults only" reception people wouldn't be as offended as if you uninvited someone completely.

    -Have you spoken to your venue yet about this potential problem?

    Most places have those max numbers set according to firecode. If this is a seated reception, you might be able to have your caterer do cocktail/buffet instead and you can fit more people in the room as long as your venue "okays" it . Also, check and see if the tent is a viable option. Even for a winter wedding you could also rent space heaters for the tented area.

    Okay, I'm sorry. This has just not been a good week and I tend to over-react. I'm sorry! What I said was not nice and not necessary. I am not making excuses,well I guess I am, but my short fuse is due to a. my period! b. having issues with favors c. going to the dress fitting tonight and settled for shoes last night, but then today found ones I totally love and d. not sleeping cuase can't stop thinking about wedding plans.

    Now to answer the questions: It is already an adult only reception. My venue has 4 other rooms, but all of them have been booked. So the room we picked can only hold 220. I don't think I can do a tent, since it is a big hall just for social events. I guess I need to question them about that. Not everyone RSVPed yet. I just did a rough estimate. RSVPs are due May 1st. It just seems like everyone we get is an acceptance.

    People who don't RSVP by the due date are probably going to say no. Of the 10 people who didn't RSVP to us by the date we asked, five of them have declined and I still haven't managed to get in touch with the other five, but I would be extremely surprised if any of them came. If you're already right at your limit with people who have explicitly said they are coming, I would be worried, but if you're still waiting on 75 or more RSVPs, I think it's going to be a non-issue.

    Aw dang, you should have made a B list and waited to send some out. Our venue was pretty small and we ended up over inviting because I had it in my head that the # was higher. It worked out though because we had enough declines so everyone who RSVPd had a seat, but then 5 didn't show anyway. You could start to get a feel from your peeps if they plan to come, maybe have your mom see what other family members plans are.
