My venue has been double booked!!

Sandy, on October 5, 2015 at 7:31 AM Posted in Wedding Attire 0 30

So my wedding is on November 7th and we booked our venue September of 2014. My fiancée and I were sitting around trying to come up with our order of event during the reception time and we were confused on some stuff so I emailed my venue coordinator and the next day I received a phone call which I didn't answer so they left me a voicemail that said "your coordinator no longer works here but your email says 11/7 and we have you booked for 11/14" omg I almost had a heart attack! So my contract says 11/7 but entered the information wrong on their calendar. So since they go off of that they double booked. I know that when we booked we were the first ones to book for that day because they gave us the option of choosing the room we wanted since there are three rooms within the venue. Well now all three are booked and the manager hasn't called. Even though I know we have a good case I still can't get myself to relax and I feel so much anxiety.

Wow what a nightmare! Have you got any other correspondence which mentions your dates with anyone at the venue? Not that its going to be easy sorting it out.

What does your contract say? Is the contract dated from the day you signed? Since it's first, I'd say that they need to bump someone else...

Totally understand the anxiety. We're date twins and I'm freaking out about things that are much less important than venue space.

Wow! I agree they should bump someone else to next week, suck for them but as long as your contract has the date signed on it you should get priority.

Or my other suggestion if they are dicks and insist that you can only have the 14th then I would demand a deep discount and send out and call your guests immediately to let them know. Hopefully there won't be too many people that have to miss it.

But definitely defend your stance on having priority to your original date first.

This is not okay. As Futuremrslav said, the date on your contract should give you priority. Just remember that this is their mistake and they need to fix it. I can't believe they didn't catch this until now.

    Keep us posted.

I saw something like this on the news a few weeks ago.

Hopefully they resolve it for you. if not contact your local news station. They will put the place on blast and the other couple ended up being offered an alternate venue.

    Good Luck!

Thank you! It feels good to know that I'm not the only one that thinks this is crazy. What's crazy is that if we wouldn't have email the venue coordinator no one would have caught this. My contract does have the date that it was signed and thr day that we were booking for (11/7) the mistake was made when they transferred that information into their big table calendar. To top it off we booked our honeymoon for Monday 11/9 through 11/14 so pushing it back is not an option plus all the engraving on everything has 11/7/15. I definitely feel bad for the other events going on that day but in this case mine is more important (to me)! I hope to find out pray what's going on.

Can you get down there and get it sorted or at least get back on the phone to them to get an answer? Radio silence is not good especially a month from the day!

If you can't get them on the phone, show up to the place. It's much harder to ignore you in person. Fingers crossed this works out, I can only imagine the stress must feel

That is crazy. I mean, people are human beings and they do make mistakes, but the point is they have to make it right.

I just wanted throw it out there that its bull crap that no one contacted you to let you know that the planner you had been working with left. That would piss me off, especially since the person taking over the account could have caught this issue sooner if they had called you instead of you reaching out to them.

    They need to fix this

Omg! I'm crossing my fingers that it all works out. It is definately their mistake to fix - keep the pressure on them.

Well, the planner leaving thing is pretty common, and I don't know that a venue would necessarily let all the couples know. That happens on a regular basis here, and the weddings come off seamlessly.

The date thing is a problem though. I hope it gets resolved.

    Hello ladies,

I have an update! I waited to post because I wanted to make sure that everything was really being taken care of. So my fiance had to handle this situation because I would get to upset and my anxiety was through the roof. He talked to the manager on Monday and he told him that he cancelled the other event that was taking place that same day. The manager and my fiance met yesterday and evething seems to be back to normal. A different venue coordinator was assigned to our event, our event will be in the room that we signed off on. The venue manager has been great! I heard from our new venue coordinator and I will be meeting with her this Friday so that I can give her the specifics that I had already relayed to our previous coordinator just so that we can be on the same page. So I am going to say that everything is going well at the moment. Even though everything seems to be going smoothly now I cant help it but to still feel anxiety maybe once we meet with the new venue coordinator I will feel better. Or maybe this is a common feeling amongst all brides.
