How do I know how many hotel rooms to block out?

Emilie, on November 4, 2017 at 6:47 PM Posted in Planning 0 5

I'll be getting married June 15th next year. The ceremony is in a medium-sized town, and it didn't occur to me until recently that I might need to block out hotel rooms for some of my guests. I know that sounds rude, but around here there isn't often a lot of competition for hotel rooms, so it never occurred to me it could be needed. I'm all for making the hotel-choosing thing easier for my guests, but I'm unclear on how to determine how many rooms might be needed. I know you don't have to have an exact number, but except for a few really obvious cases (like my friends in the wedding party who are from Australia), I'm not sure who to count when trying to decide how many to block out. How did y'all approach this? Thanks!

From my very limited experience, the hotels have told me how many they'd start me with based on my expected number of guests needing to stay. I estimated 75-80, so our hotel started us with 20 rooms, and will add in increments of 10 after that if we fill all those rooms.

We invites 240 and ended up with 150 including kids. We went with 10 rooms Friday and 20 Saturday - but those filled quickly.

We ended up with 47 rooms on Saturday. We only considered hotels that allowed for complementary room blocks - some require you to cover at least so many rooms if you block them out at the lower rate.

Ask the hotel, they should be able to help you know how many to start blocking.

Thanks guys! I didn’t realize the hotel would know what to tell me about that, but it makes sense.

Every hotel I've inquired with just gives you 10. If we need more, which we will, those guests may not get the discounted rate. If we don't use all of them then it's no big deal. The block typically ends 1 to 2 months before your wedding day.
