Vinodhini (Vinnu) Kudva is a senior level event executive who has planned and marketed a multitude of cultural and corporate events. Vinnu has worked with a wide array of clients ranging from brides/grooms and their families to dignitaries including Prince of Norway, Mayor of Washington, DC, and foreign diplomats. Since her tenure as the events manager at the historic Union Station in Washington, DC, Vinnu now enjoys to counseling our private clientele on event matters including décor, vendor negotiation and selection, and more. Vinnu’s team takes careful consideration to detail when coordinating vendors and logistics to ensure that our clients enjoy a picture perfect event.

I enjoy working one-on-one with my clients to give them the personal attention they deserve. Although we have a staff of coordinators and assistants, my clients will always interface with me.
 
What style of wedding do you specialize in planning?
We can plan any type of wedding whether it is for 20 to 1,500. Our specialty is South Asian/Indian and fusion weddings.
 
Do you support or cater to any specific religions?
We are able to work with any religions. We have specific experience with Hindu, Christian and Hindu/Christian weddings.
 
What sizes of weddings have you coordinated in the past?
Smallest wedding has been for 100 people. The largest has been for 350 people at the Mellon Auditorium.

Q:  My hotel said that they will take care of everything.  So why do I need a wedding planner/coordinator?

 

A:  Most hotels do a wonderful presentation for your wedding.  Hotels ensure that the room looks beautiful and the service is ready.  Hotel sales and catering managers, for the most part, will NOT take care of details of coordinating all your vendors, making sure they arrive on-time and deliver what they promised you, take care of last minute items such as fixing a crooked aisle-way, cue your caterer and dj, or assist with details such as placing favors or seating assignments.   Events by Design specifically is there to take care of all the tiniest details and tasks so that you do not have to worry about who is going to take care of everything from greeting your vendors to collecting your gifts.

 

 

Q:  My decorator said she can be my wedding planner.  Do I need someone else to be my coordinator?

 

A:  There are many great decorators that provide great expertise, advice and referrals to complete your wedding day.  An important question to ask your decorator is…how many other wedding do they have planned n your wedding day and can they truly be there to handle all the details of your wedding?  Many wedding decorators will plan more than one wedding per weekend. Even with one wedding, a decorator has much to do that they might not have time to greet your other vendors or troubleshoot any other problems that might arise.  Events by Design is selective and never schedules more than one wedding per weekend.  Events by Design is committed to you and making your day a memorable occasion.

 

 

Q:  How many events do you do in a day?

 

A:  Events by Design only takes one event per weekend.  Planning and executing a wedding takes much time and energy.  We believe in focusing our energy on one wedding per weekend and executing is well.  Our clients have our undivided attention for their special day.

 

Q:  My vendors are willing to give me a list of vendors to call.  Why do I need a wedding planner?

 

A:  Planning a wedding involves many steps and tasks.  Getting a vendor list and referrals is your first step.  Then you must call for availability, check references, obtain cost estimates, negotiate contracts and then coordinate logistics.  If someone says they can plan your entire wedding, make sure they can create timelines, maintain budgets and know how to bring all the pieces together.  Events by Design has staff and resources with the experience, skill set, and commitment to coordinate all aspects of an event from catering to lighting to music.

Do …

1.    Get organized.  During the planning process a bride will come across numerous vendors, ideas and timelines.  It will save time and stress if everything is in one place and organized.

2.    Delegate.  Have someone on the day of be responsible for overseeing everything…whether it is a family member, friend or a wedding planner.  As a bride or groom, you are simply too busy getting ready for your big day and entertaining family and friends.  Have someone look after all the details you made arrangements for.

3.    Ask for referrals.  Vendors will always give positive referrals to you.  Definitely ask family, friends and even other recent brides about their experiences. 

4.    Be completely open and honest about your budget and expectations with your vendors.  When your vendors know how much you have budgeted for and what you want, they can better caterer their services/product to you. 

5.    Pad your timeline with extra time.  Ensure that you allow for extra time to get dressed, travel to your destination, and have a little down time before major events of the day.  You’ll feel more relaxed to enjoy every moment.  Remember, what is important…the special occasion everyone has come together to celebrate. 

Don’t…

1.    Don’t always go for the lowest price.  Fitting products and services within your budget is important, but what is more important is reliability, professionalism and quality. 

2.    Don’t make assumptions.  Don’t assume that vendors will take care of something not in a contract.  Vendors have many events going on throughout the year.  The best way to ensure that you have everything you need and want is to make sure it is in writing.  This ensures that you and your vendors are literally on the same page.

3.    Don’t think that there is one way of doing things from the ceremony to decor.  Weddings have now become a reflection of the couple and their families.  You are creating your wedding memories…make it your own.

4.    Don’t presume that the pricing a friend got for her wedding is the pricing you will get.  There are many factors why vendors give the estimates that they do.  Your date, time, guest count and the vendor’s schedule all factor into what your price might be.  Remember to be honest and open with what you are requesting from a vendor to get accurate pricing.

5.    Don’t forget the reason you are planning for your special day.  It is easy to get overwhelmed with the budget, all the vendors and the decisions you need to make.  Remember that you are beginning a new phase in your life and you have invited your family and friends to celebrate with you.
