What did you ask in your final meeting with your venue vendor?

I am having my final meeting with my venue in a couple weeks and I am making a list of things to discuss like menu, headcount, charges ect. But I am terrified I will forget some stuff. What kinds of things did you discuss in your final meeting?

Good question! I am, too. My questions are more specific to my situation, but I'm getting clarification on seating chart details (where to set it up or if staff tells people where their table is), what I am responsible for bringing, if the officiant will have a mic, final decor details, finalize food and cake flavors, and run through the day of timeline more in detail.

Who is the contact at the venue for the day of? I put that on my itinerary in my welcome bags.

Where should guests put their gifts? Our ceremony and reception were in the same building but different rooms so we had to have one of our BP move the gift table from the ceremony to reception room.

Here are some things that I like to cover during final meetings:

    1) Review the menu selections and have the client sign off on them

    2) Review the floor plan. How many tables, how many guests at each table, where is the DJ table, gift table, ect.

    3) Review the timeline and order of events

    4) If I don't have one already a list of the vendors with their contact information

    5) I also ask what items they are bringing in (table numbers, guest books, ect.)

    6) When they are bringing in the decor items and who will be responsible for setting them up

    7) If the bride and groom aren't available I also ask who their preferred contact person is

    I hope this helps!

If you need to drop off items with them (card box, place cards, etc), make sure you get it all boxed up and ready ahead of time. We actually forgot our card box, and had to go back to the venue the day after our final meeting to drop it off.

Depending on your venue, even see if you can bring some of the decor items at the rehearsal. I guess that would apply if the ceremony and reception are at the same place. Mine is letting me drop off almost everything the day before, which will be a big help!
