Photographer Cancellation

Hi! So recently we got our engagement photos done with a different photographer than who is doing our wedding. While we think the photos of our original photographer are beautiful, we felt super comfortable with the person who did our engagement session, and are wanting to cancel on our original photographer. I have reviewed our contract, and understand that we are forfeiting our deposit, which is fine. But, has anyone else done this? I want to do it over email, as I feel in person can lead to legal issues where there is no proper documentation. I don't want it to be a knock against our original photographer, so I understand it needs to be heartfelt. Any help, anecdotes, or advice would be great!

    I would just let the original photographer know that you found a different photographer who fits more of what you're looking for, and you will need to cancel the contract. Thank them for their time. Otherwise, you don't owe them a lengthy explanation or anything. They understand that it's a business.

    “Hi photographer.
    I hope this email finds you well. After some consideration, FS and I have decided to go a different direction for photography on our wedding day. We understand that per our contract we will be forfeiting our deposit. We thank you for your time up to this point and wish you and your business nothing but the best in the future.
    Sincerely, Rebekah”
    Keep it simple, professional, and to the point.

    I wouldn’t even go into details with the photog. I would just email them stating that due to the pandemic you have had to make some changes to your original wedding plan, and unfortunately will have to break your contract. Let them know you understand that you will be forfeiting the deposit and thank them for their time.

    I don't see how if you were to have this conversation in person this would involve a legal matter because at the end of the day as long as you follow the terms of the contract you are fine. I think what the others have said make a good point and I would not bring up a different photographer as that would basically just give the other photographer a Segway to try to negotiate and convince you to stay. I would just simply email the photographer saying you know thank you for all your time we have decided to go a different direction with our wedding and even though we do like your work we unfortunately will no longer need your services. We do understand that we are forgoing the deposit but I would like to break the contract.

    Agree with the others! Keep it simple & to the point. They understand that this is a business.
