Outside Vendor fee???

Jacqueline & Anthony, on May 9, 2018 at 8:09 AM Posted in Planning 1 8
My fiancé and I have Been looking at venues. So far we have seen 9. We fell in love with one venue that has almost everything we want in a venue. It has the 4 four hours open bar plus a cocktail hour outside, video , photography , cake etc... the only thing was that if we were to bring outside vendors ( as in our own photography , own Dj , master of ceremony hora loca, a Photobooth ...or anything extra that is not included in their vendors list we get charged an additional fee of $100 per vendor) this is the first time I have ever seen a venue charge for different vendors that are outside of their vendors list. The prices for their vendors are extremely high for my liking , I have Hired photobooths for half the price and would prefer to use a vendor I have worked with before but I dont Want to get charged additional for each vendor I bring. Smiley sad

Has as anyone hired a venue which charges an outside venue fee? Do you find it reasonable ? Or unfair? What did you do?

Our vendor charges $500 if you don't use their caterer and will allow only a select few vendors for other stuff. I thought it was bogus at first but we went with their caterer and preferred vendors. I have a lot of piece of mind now going into this because they work all of the time together. We don't have to hire a day of coordinator because our venue people knows all of the vendors we hired pretty well and will make sure everything runs smoothly. I don't have to worry about anyone being late, being flakey, etc. because they have a reputation with my venue and are going to keep that up.
It seemed like a really terrible thing at first but can work in your favor for making things run smoothly.

My venue charges a $200 deposit if we use a caterer outside of their list of preferred caterers. However, they do reimburse that $200 within 2 weeks after the wedding. I guess it's more like a security deposit since they have not worked with my caterer before.

I’ve seen charging for outside catering and requiring you to pick off their vendor list. Ours included a lot of things and then gave us a “preferred vendor list”. If we picked someone off that list we actually got a $100 our ceremony site fee so I got discounts for our DOC and DJ but you didn’t have to (my florist and photographer aren’t)

100 isn't bad. This is pretty common if you don't use the recommended vendors

$100 isn’t horrible and I’ve seen this before at a popular venue in northern Virginia. If you like everything else, use them.

If they have inhouse vendors apart of the package its very common for them to charge a fee of some sort to go outside of that since they probably have a deal with that vendor and would be loosing money if you don't use them. My cousin had this issue with a venue she wanted that had an in house baker. She did not want to use them and asked about bringing in her own cake and they said to use an outside baker they charge a cake cutting fee of $2 per slice or something like that. She ultimately decided not to use that venue but they are just trying to make up the money they may be loosing out on.

Our venue had one for using a different caterer, they gave us 5 options. They are all well reviewed so we are just going to use one of them. I would just decide if it's worth it to you guys to pay the extra $500 (just estimating for 5 vendors) to bring in your own! But it's fairly common.

I worked for a venue that did this. The reason for the charge is to encourage you to use their vendors - and for good reason. Their vendors are their favorite for a reason - they’ve worked in the space before, know the ins and outs, rules, quirks, etc that may come with the venue, and they obviously treat the venue and the client in a way the venue feels confident in promoting. Sometimes it’s better to go with the vendors listed for that reason alone - it’ll save a lot of logistical headaches and make for a smooth event- but if it’s something you can’t budget for, $100 to bring your own In is not bad at all. Usually outside fees are $500+.
