How many Welcome Bags?

I shot over an email to my venue coordinator on this but she's out and I'm ready to hit submit on my Etsy order for the Welcome Bag stickers....so do you give a Welcome Bag to "each" guest staying at the hotel for your wedding or just one for every room booked? Makes a huge difference in the number of bags we make.

Suggestions from those planning to make them and from those that already have Smiley smile

    I plan to do for every guest. I feel that's more personal and they can have their own welcome bag.

    We did one per room. We did put two of certain things in the bag to make sure the couples had more than one of things. And I way over bought for welcome bags. If aren't having a DW I would check with your local guests to see who is staying at a hotel and who will drive home. I was surprised by some of the people who have a longer drive but are going to drive home that night.

    We did one per room, but each bag had enough things for 2 people- 2 bottles of water, several snacks, etc...

    Pretty much every wedding I've been to where we stayed overnight was one bag per room. I can't recall ever getting separate bags for me and H.

    On bag per room with enough inside for 2 people. This is what I have seen at previous weddings we have been to and this is what we are planning for ours.

    One per room seems reasonable enough to me! Plus if you do it that way, you may be able to afford better stuff to go inside!

    One per room but filled for 2 people. There’s no way. Haha.... we have 42 rooms booked. I couldn’t even fathom close to 100 bags

    Ok so here's another question. Our venue has rooms but are VERY expensive, so some couples decided to book rooms near the venue site instead. Should we be making these folks bags as well and take them to the front desk of their hotels? Or just for the people that booked at the venue?

    I'm planning on one per room but will put 2 of most things inside - two bottles of water, 2 cookies, some snacks, etc.

    Now my problem is that I'm not sure if the bags I got will fit enough.

    When I went to my cousins wedding on an island each room had a welcome bag. I think it would be a bit of overkill to do one per person

    My friend's wedding had guests staying at all different hotels in Philly. They made hangover kits in gable boxes and had them displayed next to their favors for people to take home at the end of the night. They had 70 people but I think they did one per guest.

    We are doing one per room with enough drinks and snacks for at least two people. I would recommend making welcome bags for the guests that stay at a near by hotel as well since they too are traveling for the wedding. BUT, make sure you call the hotel ahead of time to make sure they will be willing to pass out the welcome bags. Not all hotels will do so or they charge a fee. That may help answer your question about making bags for other hotels.

    I think it depends on how much you have inside the bag. If you're putting enough in the bag for two people to share, then it's good. Also think about whether you have any guests who might have more than two people in a room (families or maybe a group of friends that decided to split a room more than 2 ways).

    We decided to do one bag per guest. We also had a lot of guests who were coming for multiple days from OOT, not just staying the night if the wedding. We wanted to make sure each guest had enough snacks and water bottles to last for more than one night. We also had guests coming that were gluten free, so they had special bags set aside for them, and we made up different bags for the little kids that were coming that had a couple activities inside.

    Mine will depend on how many we have. If I do just a bag per room ill make sure to put doubles in every bag

    Yes, make it for them too. Especially if its just one other hotel.

    I forgot the other part of your question: did you arrange for blocks at these other hotels, or did guests choose them on their own? It usually easier to get hotels to agree to pass out welcome bags when you have a block set up with them. Otherwise, they don't have any kind of relationship with you, and they have no obligation to honor your request. As a wedding guests, I would certainly not expect to receive any kind of welcome bag if I was opting to stay at a hotel where the couple didn't have a room block, even if I heard that other guests who did stay at the hotel with the room block had received them.

    An alternative could be to deliver them to guests yourselves or pass them out the day before if you're having any kind of welcome event for people who are getting into town a day early. But, those won't work if your guests are coming the day of the wedding, because you'll be busy.

    Another thing to keep in mind is that some hotels charge you to distribute welcome bags to guests checking in.

    We just passed out welcome bags at the hotel where our room block was (which was also our venue). They were happy to do it all weekend long as guests checked in at no charge. I just made lists for them detailing which guests were checking in on which days and how many bags were in that group. We had a couple guests that opted not to stay overnight or opted to stay elsewhere. We only worried about getting a welcome bag to one guest who stayed at a nearby hotel. It was DH's dad, so we felt like we should hand deliver one to him after he arrived.
