How did/will y'all transporting supplies to venue?!?!

Catalina, on November 8, 2019 at 4:47 PM Posted in Do It Yourself 0 9

So our venue is available to us starting at 8 am the day of. It will be crazy/stressful, but I'm choosing to be positive and confident about it!

Our wedding is on the 16th, we're 8 days away and as we're staging and organizing supplies, I'm realizing just HOW much we have left to do! Obvs, some things have to be done the day of, but there are others we can probably do/prep ahead of time, but I'm stuck trying to figure out how to pack/transport them to the venue.

We ordered 120 2-piece plastic champagne flutes. They are neatly packed in the box they were shipped it, but it would be great if we assembled them beforehand. Any ideas how we can pack/transport 120 assembled plastic flutes?
Same question for other items, like glass votives: They're packed in the box they shipped in, each individually wrapped in a bubble wrap "pocket". Should we unwrap before? Should we insert tea lights now?

Am I overthinking the time it'll take to do this? Please share tips/ideas on what things you were able to assemble/prep before hand, and how you managed to transport them to the venue! Any and all advised is appreciated!

I sorted them into bins and labeled them for the friends/family setting up. It still didn't get done right even with all the planning! My aisle runner was used as a decoration on the memorial table LOL...The candle for the head table was put on the cat table....craziness ..but it still looked beautiful. Just still bummed about the aisle runner

I also had boxes clearly labeled and I also had mason jars with tealights in them. I put the candles in ahead of time. I don't know how much time that truly saved but I just wanted things to be more done.

We're totally packed up right now: two Rubbermaid containers labeled with masking tape. One is completely dedicated to the centerpieces while the other is for altar, welcome table, cake table, and sweetheart table. I'm also including instruction for the coordinator the day of with notes and pictures. All we need to do is bring it with us the night before and they take care of the rest.

One of my girls has offered to look around and FaceTime me while I'm getting ready to make sure it's all how I want it that afternoon.

Small storage containers with the decorations for each table and a picture of how its suppose to be set up, since there plastic pre assemble wine glasses, i would also set up the votives before hand and just pack them tightly so they cant shift/clink together

Great idea of sorting the containers by location/use! We'll def sort: head table, buffet area, ceremony, and bar into smaller containers so they don't get mixed up! I'm hoping "inspiration" pics are enough for my people to figure thins out! LOL
We did not get a day of coordinator - which is why I'm freaking out! Unfortunately, I lost my job last month, so we didn't want to spend the extra money....being a "Full-Time" wedding planner for myself has been crazy!
Also - LOVE the facetime/Skype idea! That would help us not to worry so much while we're getting ready!

Thank you for your feedback/suggestions! It helps to hear from others who have done/are doing this too! We set up votives yesterday; assembling flutes tonight!

Between the labels, directions, and pictures it’s almost idiot proof lol.
