Gentle Remind to account for traffic time- How do you word this.

Sarah, on August 15, 2022 at 11:13 AM Posted in Etiquette and Advice 0 8

I'm in a pickle. We are having a semi destination wedding about 2 hours from our hometown. We are heading to VA Beach and if anyone is familiar, you know how the tunnel traffic can be in that area. If there is any type of accident or delay around this area you can end up sitting in traffic for hours. I want to send out a little reminder to allow time for traffic. Basically please leave Richmond no later than 2PM. Ceremony is at 6. I just want to ensure people aren't rushed, have time to settle and get checked in, and freshin' up! Most of our family will be down there the day before however, we all have that one group of friends that needs that gentle reminder to ALLOW TIME FOR TRAFFIC. Should we send a text out reminding them of this? How should we word it? I feel like we shouldn't have to remind adults to allow time for traffic etc but, if you know, you know! LOL

If it's an area that many of your guests aren't familiar with, they may not know about how bad the traffic can be! A text might be a good idea, something along the lines of, "If you've never experienced the traffic heading out to VA Beach, it can add quite a bit of unexpected time to your travels! Please consider allocating extra time to travel to our wedding. We recommend leaving Richmond by 2pm."

I think Lisa's response is perfect. Not pushy, just enough straightforwardness.

Ooh boy! I am familiar with the area and I absolutely understand why you feel the need to warn your guests about the traffic. I waited 4 hours on that bridge on a hot summer's day due to multiple accidents that happened in the tunnel.

Lisa's wording sounds good. Here is a second version that is slightly stronger in its reccomendation: "We look forward to seeing you soon. If you are unfamiliar with the VA Beach area, please be aware there are often significant traffic delays on the Bay Bridge-Tunnel. We reccomend you leave Richmond by 2pm."

Is there a good spot for people to gather ahead of the ceremony, even informally? a restaurant, a hotel, or museum? That way people don't roam around aimlessly if they purposely arrive early. Just say there is a gathering place for people who want to refresh and relax a little ... and not feel rushed getting to the actual event.

Maybe you can have some tips on the website for getting to the destination. Mention there that google maps is useful to get an early peek at the conditions ... and even to predict how congested the roads typically are.

This is everywhere on our website::

    "* PLEASE REMEMBER **

The month of May is still considered "in Season" here. Therefore it is strongly recommended to book your accommodations as soon as possible.

THE VENUE IS LOCATED ON AN ISLAND - SATURDAY BEACH TRAFFIC WILL BE A FACTOR, SO PLEASE KEEP THIS IN MIND WHEN DRIVING TO OUR WEDDING. WE SURE DON'T WANT YOU TO MISS ANY PART OF IT!!"
