Destination wedding and room bookings

N, on September 29, 2019 at 10:31 AM Posted in Planning 0 4
Our wedding will be in April and the entire wedding party will be coming from out of state. I’ve sent out hotel room block info and am getting ready to mail out STDs (which show our wedding website where I’ve put more room/hotel options). I know everyone is adults, but I’m worried about the “slackers” in our wedding party not booking early enough. Our wedding is at a very popular resort so I’m worried it will be sold out of they wait to book until early 2020/ closer to the wedding (some schools spring break might fall on our wedding weekend too). Is it appropriate to check in about whether rooms have been reserved yet and what the bridal party’s plan for traveling is?

If you haven't already made it clear, I'd send one reminder (text, email, however you communicate best with this group) and let them know that the block is available now, and given that the wedding will be during a busy travel season at your location, you strongly encourage them to book as soon as possible to avoid not being able to stay at this location. Once you do that, I'd let it go. Whether you think they are slackers or not, I'd leave it to your friends/family to take care of their reservations or figure out alternatives at a later date. Unless you're going to pay for the rooms, I don't think you can/should try to manage what they do beyond that. Good luck!

You can’t parent everyone, and either they’re going to book their rooms or they won’t. I have very specific information about the block of rooms for my destination wedding on my wedding webpage including the book by date to get the discounted rate. You can remind people, but anything past that isn’t going to change anything. You never know who can afford to go or who can get off work or has something else that’s preventing them from coming. It’s not always from procrastinating.

I sent a reminder text to BM & GM once, but that's it. Our save the dates had a small insert card with our main hotel block information too, and they went out 10 months early.

There will always be people who try to book late or at the last second, apparently. I hired a travel agent for this very reason (actually, we are not paying them a dime, but they are assisting with booking our destination wedding). I agree with MOB So Cal's advice to send out a reminder in some fashion to let them know about booking ASAP. This may cause some people who cannot afford to pay right away to drop off your guest list, just an FYI.
