When to check in with venue

Emma, on June 16, 2020 at 9:55 AM Posted in Community Conversations 0 16
So my wedding is October 3rd of this year. I just realized we are about a week away from 100 days till the wedding. I am wondering when I should check in with my venue? I’m thinking now might be a little to early but I need to plan accordingly for any covid regulation; but I’m thinking it’s to early for that. Idk what to do

Was there anything in your contract? Daughter's venue was semi-inclusive, so there was a planned "check-in" to schedule her tasting and go over final details around 3-4 months. If you haven't talked with them yet during the pandemic, I'd definitely reach out sooner rather than later to see what impact reopening has had on them and what their plan is to work with you in the next 100 days. Good luck!

I agree with pp are there any dates on your contract? But then again I honestly think it’s fine to check in whenever. I remember stopping by my local venue a lot to ask more questions aha

The only thing is 1-2 months before the wedding coming and deciding on a layout for the ceremony and reception. I haven’t been in contact with them. I went ahead and jumped the gun and sent our venue manger an email 😅
Once she responds I’ll probably email our other vendors and see where they are at. The main one I am concerned about is our caterer. We are planning on doing a buffet and that might have to be changed due to covid.

No dates other then coming in and deciding on a layout. I went ahead a sent an email. My biggest concern with the venue is the guest list. Most business here are having to operate at half capacity; for our venue that’d be 120. Our guest list right now is 130 😅 but if need be I can get it to 100 without to many hurt feelings

I think you're fine. Especially with the pandemic, I don't think it's being "pushy" or whatever to reach out sooner. If they are currently swamped, they can let you know that and tell how soon you should be able to plan to talk with them. Good luck!

More then likely once we get closer I’ll keep an update every other week still the wedding to make sure we don’t have to change anything. I just want to know what the venue it’s self feels about October as of now.

My wedding is in August and I've been checking in since March when this all started. At of now, they are telling my it is still too early to make decisions about August weddings and to know what restrictions will be in place. We're in Phase 2 in Maryland and Phase 3 is when things go back to normal...so I have a feeling I'm stuck with having one this summer. I really just wanted to postpone but can't loose all of that money by cancelling.

So in the end although it sucks waiting..venues don't seem to have answers until about 2 months out.

My venue manager is actually amazing at returning emails. I went ahead and sent one and she responded within an hour. As of now they are just working at half capacity. Nothing else has changed! Hopefully things will be filling running in October. In NC were in phase 2, governor is supposed to be making the decision about phase 3 next week. I really don’t want to postpone even if that means cutting the guest list.

Hey date twin! Lucky for us our venue as been proactive in contacting us regarding Covid, etc however I think our menu choices and headcount are due in September so there’s still time. But honestly I think it’s wise to reach out to get a feel with how things are going.

I went ahead and sent an email and she said everything is going as planned as of now! I’m so happy!! Though I am still so prepared to cut the guest list if needed but even as of now we’re at their 50% capacity mark so we shouldn’t have to cut it.

That’s good! We’re one guest over the 50% capacity if we specify single folks don’t bring dates and keep it to adults only. I’m hoping we’ll be at a greater capacity until then.

Me too honestly! We are only having plus ones for people that are married, living together, or have been together for over 6 months. Unfortunately right now it’s no kids besides nieces and nephews, which I’m not thrilled with. I have quite a few friends whose kids I love and family friends kids babysat growing up that I wish could be there.

That's great! Just continue to check back in case anything changes. I've send an email one a month getting the updates. Although, now with it being about 2 months away my venue has gone silent. I know they cancelled all July weddings. I inquired about August weddings over a week ago...they completely disregarded my question and answer another question I had in there. I sent a follow up email today asking about it again.

You still have plenty of time! I'm hopeful things will be better for fall weddings. Having a summer wedding has been SO stressful.

Ditto! I want my friends kids to be there and if the single guys we know want to bring a date, I’d like to give them that option. Fingers crossed 🤞
