Wedding Day of Coordinator or No?

Vanessa, on August 25, 2019 at 1:40 AM Posted in Planning 0 5

Hi,

I'm unsure over what to do here. My parents think we should hire a Day of Coordinator, while my FH thinks the event is simple enough to run smoothly and we should save the money. This is a long post, but I would truly appreciate any feedback!

Basically we're legally getting married in the US, but having a symbolic wedding in Italy. I am as type A as you could be as a planner. I plan international trips day-by-day down to the walking/driving distance from place to place. My job also heavily relies on planning and I genuinely enjoy planning.

So I have planned everything for our wedding and we have all of our vendors. We never wanted to have a traditional wedding so our plans are a bit different. We have the ceremony, cocktail hour and a boat ride which will take us to our dinner reception. No dancing and only 30 guests. My mom has agreed to help with the day of coordination: setting up the ceremony venue and telling people when to walk down the aisle. My friends and hotel employees are going to help her, so she won't do everything alone.

My dad is bringing the decorations to the reception, but unfortunately due to closing after lunch and reopening for dinner no one will be able to set up the decorations. Essentially there will be a long table for all the guests and a small cake table. The decorations will consist of tablecloths, a cake stand and a lot of taper candles and vases filled with flowers. The reception venue offered to set everything up for us, and while the set up isn't complicated, I'm worried it won't be completed in time because they only have an hour until we arrive.

So long story short: we are having a very simple wedding in another country. I'm worried about my mom being in charge of coordinating the ceremony and the reception venue setting up our decorations. Is it worth it in my case to hire a day of wedding coordinator, which will cost almost $1,000 with the exchange rate? Or do you think things can run smoothly without?

It sounds like you’re keeping things simple, so I would think everything should easily go as planned. The only reason I think it may be worth it is if you’re not fluent in Italian, because if there is a problem it might be harder to discuss what’s going on.

Another consideration is that, while she may be fine with doing day-of coordination, it’s also a special day for her and it may end up being too stressful on such a big day.

Good luck on whatever you decide to do. Your wedding sounds like it will be lovely!

I’d say spend the money and get one for peace of mind. 1k to have things go smoothly is well worth it in my opinion!!! Good luck!

I personally think is worth it. I’m also a really detail planner and I had a destination wedding as well. I did all the big planning from travel, to vendors to everything involving the wedding but I wanted a day off coordinator to do all the details the day off. My mom is not the best at it but my friends are and I honestly didn’t want to give anyone this responsibility. I was so grateful to have them all flight to our wedding that I didn’t want to put them to work, I wanted them to enjoy. Also as a super picky and OCD planner I didn’t want to worry about anything or having things go wrong. I negotiated the price with my coordinator since I did all the planning myself, hire all vendors and they were all in charge of set up and tear down. I didn’t bring much myself for decoration but what I did my coordinator set up. I brought personalize napkins and guest towels, signs for tables, bar and welcome table, restroom baskets, throw pillow covers, escort cards, guest book, polaroid, ceremony “reserve” signs, cake cutting set, and glass set for groom and bride. The rest was all set up by each vendor as it was part of the contract. The other convenient part of having her was that she arrange all vendors and called them if things went wrong and kept us all on time. I highly recommended it!

Thank you so much for your feedback! We decided to go with a day of coordinator to relieve some stress.

    Thanks!
