Wedding Coordinator Cancelled 1 month & 1/2 Before Wedding & Won’t Refund Me

Hi guys.


My wedding is May 8th 2021 and my wedding coordinator just cancelled on me a few days ago. We are a month and a half away from the wedding & I cannot believe this happened. In her first email informing me that she was no longer going to work for me, she said that I was rude to the florist & that I demanded her to text my photographer. Which is soo far from the truth. I told her I was extremely confused & asked how I was rude to the florist. Then she responded saying that it was rude of me to remove the boutonniere since someone else was making me one for free... before I signed the contract with the florist I called her to let her know that someone was making me one for free (the girl making me my bouquet) so I asked if she could please remove it from the proposal & I was still going to get everything else on there. I had no idea me telling her the truth would lead to my coordinator cancelling on me or that it would ever come off as insulting. I had no malicious intent at all I just didn’t see the point in getting the boutonniere from her when someone else offered to make it for free. She was also upset that I asked her to text my photographer 2 months prior to the wedding. She said she isn’t supposed to reach out until we’re a month away which I didn’t know and when she did tell me that I was totally okay with it. Now she is throwing it in my face that those are the reasons she quit & does not want to refund me. She is saying that the deposit I put down went for the emails/texts/calls. However, i did not put down the deposit for her to do half the job. I put it down to secure that she would complete the job & be there to coordinate my wedding. After I asked her to refund me she said that she is not cancelling on me, that it’s just a change of staff and that I will now have the other in house coordinator work for me. However, the other coordinator is trying to charge me twice the cost. That does not sound like a change of staff, that is a brand new contract. & even though they are in house coordinators, I signed my own individual contract with that coordinator. So her trying to say it’s just a change of staff is a complete lie because I would now have to sign another contract and pay way more for the other lady. What should I do about the situation now? I will be hiring another coordinator but I don’t think it’s right that I paid her half the fees & she is refusing to refund me. If I would have cancelled on her I would completely understand the non refundable deposit but since she cancelled on me, what can I do about it?

    I would read through every aspect of your contract with her, familiarize yourself with it, and go from there. Most than likely there will be some clause in there about refunds/no refunds due to cancellations etc.

    I'm sorry you're having to deal with all of that so close to your wedding date! Have you spoken with the replacement coordinator and explained the situation? Are they not willing to budge on their price?? If not, it honestly sounds like they're trying to get more money out of you by scamming you this way. But that's just my opinion. The reasons she gave for quitting on you, quite frankly, sounds like bs to me. If she and the replacement coordinator work together, it wouldn't surprise me that this was some sort of scam. I wonder if they have any reviews for their services and if this has happened before?

    Another suggestion is seeing how much just a day of coordinator will cost to just deal with things the day of, and handling everything beforehand yourself. This could possibly be the best option money wise if you're going to have to hire a new coordinator.

    I agree with Shelly. Read your contract thoroughly. There should be something in there stating cancelling and refund/loss of deposit.

    Thanks for your response & for trying to help! I did read through our contract & this is what is says for refund policy "Should the event be canceled or postponed, a written notice must be submitted within 30 days of the event date to coordinator. 100% of any money paid less the 50% deposit will be refunded within 60 days of written notice." It doesn't mention anything about if she cancels on me, what would happen. & I did speak with the replacement coordinator. She said that she was going to give me a discount but she was still trying to charge me twice what the other one was charging me. Another thing my coordinator mentioned in her emails is that she thought I was being cheap & was afraid she wasn't going to get paid. I was trying to stick to my budget & trying to make adjustments to stay within my budget when it came to the other vendors that I had yet to book. For example with the florist I initially wanted flowers & a bouquet but once I saw the cost I told her I would just do greenery & a garland. So I made it obvious I was not going to splurge too much on a wedding, & during one of our phone calls she said maybe I should postpone the wedding so that I'm not stressed about the money & can save up more. & I told her that it wasn't that I couldn't afford the wedding, it's just that I don't want to spend too much on one day. So I think that gave her the impression that I have a lot of money & that I just don't want to pay for things. She said that I was flaunting that I can pay for things & just don't want to. Which I never meant to come off that way, I just didn't want her to think I was flat broke & should postpone my wedding. Again I just don't want to spend so much on one day. So I do think that's why the other coordinator is trying to charge me twice the cost. Plus when I scheduled a phone call with the other coordinator in the afternoon, she never called & texted me at 9 pm asking if I could talk now. I got the feeling that she wasn't going to give me the best service anymore because the other coordinator talked to her about me. I was a complete mess for a couple days because of it but I am in contact with other coordinators now & will book with someone that is not affiliated with them at all. I feel so much more comfortable knowing that they will not be talking about me behind my back. But yeah it does suck that the other coordinator is keeping the deposit despite her cancelling on me.

    Omygosh Im so sorry! Simply asking to change your order from the florist is Not rude! Its perfectly fine because sometimes our needs change and a vendor should be able to accommodate that especially if you gave plenty of notice. I agree with both pp. Look through the contract with a fine tooth comb. Also discuss with the new coordinator your pricing and that your previous coordinator states it was a change of staff so you were under the impression it would be within the same budget. Unfortunately you cant force the new coordinator to provide her services at the same price if shes not honoring your old contract.




    Definitely save all contact you have have had with her. Im so sorry since you have a short time frame to either cough up more money or find someone new. And I would hate for you to have to sue her to get your money back. Since its a “change of staff” is this a company that provides coordinator services? Or are they all independent coordinators. Is there someone else you can speak to about this?

    If she cancelled on you, it seems like she is breaking her end of the contract by not providing the services she promised to provide. Plus, her replacement option isn't honoring your contract like the original coordinator implied. I think the reasons she gave for cancelling on you are not valid at all. I personally would probably look for a new coordinator and not use her or her replacement coordinator (or anyone that is also linked to them). Continue to request your money back from her, leave a negative review for her everywhere you can (Google, Yelp, The Knot, Wedding Wire, etc), and search for a new coordinator.

    Are these coordinators through your venue? They both sound terrible! I’d definitely try to get your money back and I wouldn’t want to work with the new coordinator either. The previous coordinator probably didn’t have nice things to say about you to the new coordinator. This seems terrible. If you have any lawyer friends I’d ask them to write a letter requesting the deposit back. The legal language may be enough to do the trick.

    You fo NOT have to justify your budget or wanting to stay within your budget to anyone! Her worrying you were being “cheap” and maybe she wouldn’t get paid is NOT a reason for her to quit. Thats what a contract is for!! An agreement on the services rendered and the amount it will cost for the services. Your contract confirms she will get paid. She deserves a long bad review. That’s ridiculous and unprofessional for her to talk badly about you and judge u for “being cheap”

    Goodness she sounds so unprofessional!! It's none of her business why you want to not splurge on certain things for your wedding! Vendors often ask couples what their budget is for a reason! The fact that she literally told you she thought you were being cheap, among the other things she said to you, is def. a red flag and shows a lot about their business.

    I think booking someone NOT affiliated with them is an awesome idea because that's a neutral party that won't have them gossiping about you to them!

    Good luck with your new coordinator, and if you have a way to leave a review for the old one, def. do that!!!

    Yes my coordinator said that the replacement would be honoring the deposit but again the cost isn't the same so that means she isn't honoring the old contract. & yes I have screenshotted all our emails & texts because there is so much proof that it isn't just a staff change & that she is cancelling on me even though she is saying she isn't. & they're all independent coordinators. So again, I know this is not just a staff change. I think she is just trying to make it sound like that so that I don't do anything about it. I reached out to a lawyer about it yesterday & I'm waiting to hear back. I feel like once they look over the contract & her emails/texts they'll be able to tell me what I can do about it. But I did want to hear what you all think! So I truly appreciate your help!

    Its so crazy. If they are all independent contractors then it definitely ISNT a change of staff. She essentially said heres a colleague of mine that can work with you. Glad you reached out to a lawyer. Sorry for the stress she caused.

    This is terrible- I’m so sorry this happened to you. This coordinator is an asshole. Who is she? You should make sure to leave bad reviews everywhere so no one else has this happen. Any good coordinator will HELP you stay in budget- not shame you for it. Have you told her you are talking to a lawyer? Sometimes people will back down in cases like this where they know they don’t have legal standing.

    Oh yes I am definitely leaving bad reviews. Her company is called D'Renae Events. & exactly I had no idea she would throw it in my face that I was trying to stay in my budget. That is a part of her job.... & no I haven't told her I am speaking to a lawyer. She was harassing me over text & email so I didn't even want to deal with that. I'm going to plan out now what will happen but I'll deal with it once my wedding is over because right now I just want to look forward to my big day & not breakout over the stress! aha. Thanks for your help!

    Thanks everyone for your messages! I truly appreciate all your help. I am sure my new coordinator will do a wonderful job & I'm glad the old coordinator will not be there to ruin it. It would have been even worse if she would have stressed me out the day of. Thanks again everyone!! Smiley smile

    As I know others have said, I'd recommend combing through the contract you did sign. If it doesn't explicitly say she can cancel at any time for what she deems just cause and you would not be entitled to a refund, then I would agree with taking her to small claims court. So sorry you're going through all of this! I am looking to start my own wedding planning/coordinating business myself and I can't imagine backing out on someone 6 weeks before their wedding.
