Wedding Accommodations

Hey all!


My reception venue is at a B&B and I have reserved the entire property including a cottage on the premise. We will have a wedding of 30 including myself and my fiancé. My fiancé’s family will be flying across the country. My family will have a 2hour drive and my MOH and a few of our friends will be traveling as well. The reservation doesn’t have enough rooms for everyone. I was thinking of accommodating our immediate families and my MOH and her partner. Would it be rude not to accommodate our other out of town guests? What would be the best way to handle this situation? Should I reserve a hotel room block at a hotel nearby? How do room blocks generally work?

    FYI our venue is in Flagstaff, AZ. Fiancé’s family is in Maryland and Florida. My family is in Phoenix. MOH is in Tucson.
    Oh and btw my fiancé’s side of the wedding party is included in immediate family and so is mine (except for MOH).

    My fiancé’s cousins, aunt, our two friends from FL and our two friends from Tucson would not be accommodated at the venue. 1 friend is in Texas.
    I overthink a lot so sorry if I’m making things too complicated with TMI!

    I think setting up a nearby hotel room block would be a good idea! The way that a courtesy room block typically works is, the hotel sets aside a number of rooms (such as, 10), and assigns a block name (typically your name) and a deadline to reserve by (such as, a few weeks before your wedding). Your guests would call the hotel to reserve a room before the deadline, mention the room block name, and they would get one of the rooms in the block. The room cost is covered by the guests, not you. Any rooms not reserved by the deadline are released back to the hotel, and you are not charged for them. If all rooms fill up before the deadline, the hotel will set aside another group of rooms (depending on availability) until the deadline. Often times, your guests will get a discount for booking in the room block.

    Lisa covered how a room block works, but in addition to that, I would cover RT transportation from the hotel to the wedding venue via a shuttle. With them traveling that far, they shouldn’t have to worry about driving or getting a Lyft or Uber.

    That’s a good point I wouldn’t want them to worry about that! Fortunately our reception venue is within 10 walking minutes of a few hotels as well. So if they want to Uber or Lyft I would pay for it but they could walk back to their hotel after the reception. That reminds me though, I’ll need to arrange rides to and from the ceremony location which is about 29 minutes away from the reception.

    Flag is gorgeous (we live in the Pinetop/Lakeside area) & they have so many hotels to choose from. Plus they have a huge variety of restaurants the other guests can choose from when they’re not at venue.

    It is beautiful! I’m so excited and U think the guests will love it up there! Pine top is beautiful too. I almost booked a cabin up there for the wedding venue!
