Venue responses

Kristin, on April 4, 2019 at 11:09 AM Posted in Wedding Reception 0 10

Hi all! I'm still in the early planning stage of reaching out to potential venues for quotes. Is there a certain time frame they're expected to reply in? I heard back in the same day from some places, but for others it's already been a few days. Not sure if depends on the venue and how busy they are, or if there's a certain etiquette they're expected to follow. Any wisdom/advice? Thanks!

I usually gave most vendors or venues at least a week. Some did respond and say they'll reach back after vacation, other events, etc and gave them a couple more days. But do be aware that prom/wedding season will be picking up soon as be patient and good luck!

I’d give them a week or so before contacting them again. And depending on their response back after contacting them a second time, you’ll know how well their service is

My caterer takes a week or more to reply most times lol. I usually give a week before sending a follow up message or calling.

Agreed with the above - I waited a week before re-pinging them to see if they've had a chance to look at my requests. If another week passes, I stopped trying unless they had a really good reason for not responding.

Thanks for the advice, ladies! As a matter of fact one of my venues just responded about 10 minutes ago! Lol

A week is a good amount of time. Sometimes they have events going on more than just on weekends and they might be wrapped up in that.

I did three business days before I moved on. If they hadn’t responded by then they never did. I only had one that reached out to me a whole month later, too late.

Yes, I would say for a venue, maybe give them a week to respond. They really shouldn't take that long. However, for most vendors, when requesting pricing/availability, I only gave them a few days to respond. If they didn't, I moved on to the next one on my list.

I will say that the reason I gave the venue up to a week to respond is that our venue has only one person to respond to every request, question, complaint, etc. Because she is often needed there on the weekends when large events are happening, she has days off during the week. So, her schedule is weird, and is changing constantly. So, my sister had recommended the venue, and knew the coordinator. If she hadn't given me a heads up about this weird schedule, I would have assumed they were just ignoring me at first. I might have passed them by otherwise. So, there are circumstances that sometimes affect response times. Just keep that in mind.

I think this also depends on how you're contacting them. If you're sending them an email or leaving a phone message, I'd expect an answer within no more than 72 hours (a little more forgiving between Friday and Monday, as they were likely swamped all weekend). If you're trying to message them through WW or some other site, I'd look for a phone number or email and try again before giving up. After that, if they can't return my message in a reasonable time, I'd cross them off the list. The only vendor daughter had communication issues with throughout the process -- including the week of the wedding -- was the one who was bad at responding in the early stages of the process. When people show you what they are like, believe them!

How should I start an email if this is my second time telling them we loved the venue for our wedding and we want to meet to finalize our reservation?

I emailed the owner on Friday, today is Monday. Should allow all this week for him to return my email?
