Venue Questions

Samantha, on August 1, 2020 at 11:18 AM Posted in Planning 4 10

I'm going to tour a venue next week! I'm super excited, but also a little lost. I have a pretty good idea of how many people will be attending our wedding, and I have a vague idea of what I want the wedding to consist of and look like. But I don't know what to ask when I go to the venue? They claim to be very inclusive as far as site fees, food, floral, and things like that but I feel like I need to be prepared with questions.

What are the most important things to ask a potential venue when taking a tour?

    What is your cancellation policy?

    What about a postponement policy?

What's included in your rental fee?

    Are there different packages?

    Is there a service charge?

Do you have a minimum spend?

    Capacity?

    Is gratuity included?

What are the terms of payment/when do we need to pay?

How many hours do we have access to the venue for? From what time to what time?

Can we have our rehearsal here? On what day?

Can we drop decor off or set up the day/night before our wedding?

Do you have a list of preferred vendors? Are we required to use them?

Can we supply our own alcohol?

    Do you allow open flames?

Who is responsible for tear down and clean up?

What is the backup plan in case of bad weather? (if having an outdoor event)

I would suggest asking for a detailed list of what's all included, what fees can you expect to be charged, timing (how long would you have the space for, any timing restrictions, etc), payment schedule (what is the deposit amount, when would the remaining balance need to be paid, is gratuity included in the price, etc), max number of guests, any minimum number of guests (or minimum spend), parking, etc.

Also, I have to 100% agree with the first comment's suggestion of asking about a cancellation/postponement/COVID policy. If it's one thing I learned over the last couple months, not all venues are willing to work with you in an unforeseen circumstance. Ideally, find a venue that would allow postponement.
