Venue Issue

Brittany, on April 8, 2020 at 10:23 PM Posted in Etiquette and Advice 0 9
We found a gorgeous venue that we absolutely fell in love with. The owner showed us the property and all the areas we could potentially use for our day. It is a country club so it does have a golf course, restaurant and bar in addition to a ballroom and tent area. She showed us an open air bar and explained how we could use it and where we could set up our cocktail tables. After the tour, we reached out to our coordinator and asked her what the venue fee was. She quoted us a price and we went ahead and booked and paid the deposit. We are now finding out that the areas the owner showed us are an additional expense. Our venue contract just says use of the ‘venue’. We are now being told that means only the use of the ballroom. We are three months away from the wedding....

Has anyone run into an issue like this? What did you do?

Do they have any more information on their website or did they give you a price list? My CC gave me a list of what things were available and cost. It even says for the wedding package linens, wine during dinner, mirror, votives. So keep looking for more information.

No we didn’t get a price list on anything aside from food. I was only quoted the venue fee. Tables and chairs were included through the venue and linens are covered by the caterer. The caterer was brought in and subcontracted by the venue. Our coordinator works for the caterer and handles all of the venue discussions as well. I think there was a serious breakdown of communication. I should also mention that my original coordinator got a new job a few weeks ago and now we are also dealing with a new coordinator.

Its really bizarre because they’re claiming that to rent the bar for an hour for cocktail hour is double the price of the venue fee for the ballroom for four hours.

A lot of venues have several areas for use of space. Did you not ask about which area you were booking? Is it in your paper work?

She didn’t tell us there were option. She just showed us a space and explained how we could use it. In our contract it didn’t specify which spaces we could use and which we couldn’t.

That’s so disappointing! Talk to the coordinator to see how other couples have utilized your space. Is there an area connected to the ballroom where a small bar could be set up? Our wedding is also held at a country club. The ballroom and a few other rooms in the main building are included in the rental, but some outdoor areas and other buildings are additional fees. We will be taking some of our photos in those areas but not renting them!

We are definitely exploring alternatives. We will be very limited if it is bad weather now. When did they tell you that the additional spaces would cost more?

It was explained when we first went to see the venue since toured all of the grounds. While we love the one outdoor space, we are having a November wedding, so the weather will most likely be too cold. We have up until a week before the wedding to let them know if we would like to use it to allow time for additional chair rental, etc.
