Transportation from hotel to venue rsvp?

Nikki, on March 14, 2016 at 1:51 AM Posted in Etiquette and Advice 0 7

We are planning on renting busses to take guests from the hotel to the venue, as the hotel does not provide any shuttle service and the hotel is 15 minutes from the venue, and with an open bar we don't want anyone drinking and driving. Is it weird to ask guests when they rsvp to rsvp about planning on taking the shuttle bus we provide to the venue (and back obviously). I want to make sure we have plenty of room to transport everyone, and because of hotel check in time and the start of our ceremony and distance to the venue, it makes more sense to get multiple buses rather than have the bus make more than one trip. How did others handle this?

I went to a wedding last year where we got a little wedding 'flyer' at checkin. It had local places to eat, suggestions on things to see, etc. It also indicated that there would be two busses to transport us to and from the venue, and what time to meet in the lobby. No RSVP needed.

I reserved a trolley for our downtown wedding, and I do not know who will personally utilize it. I am sending out welcome bags to the hotels informing our guests of when and where the trolley will pick them up from if they choose to take it, as our venue has absolutely NO parking. I wouldn't think an RSVP would be necessary.

My FH and I will be including on the RSVP card asking if they would be interested in using transportation provided. Mainly because we have a lot of OOTG and I don't want them drinking and driving, and because I know a lot of our friends will probably also. But I want to get as close of a number as possible so I'm not wasting money on buses that won't be used and to make sure I get enough.

We went to a wedding where the couple provided transportation. Had two huge buses. They ended up only needing one and ended up out of the money for the second bus.

I wouldn't ask for an RSVP per se, but I would let guest know via word of mouth, your website and maybe a short note on the RSVP card or invite itself that there is shuttle available and to please take advantage of it and forward any questions to the bride/MOH/whoever you want to answer questions.

@jessica, yes, that's what we are concerned about! We have a lot of out of town guests that will be staying at the hotel. I think most of them will use the bus, but I also feel like many would just rather drive. If I plan on the buses per people staying in the hotel, I feel like we may end up with an extra bus. I am putting the information on our wedding website. I suppose I could mention it on the wedding information card in the invitation and tell them to look at the website for more information, and they can RSVP on the website if they want?

@Jessica Wedding day twin! That is a good idea, I am thinking about adding that to our RSVP cards as well. We are also thinking about providing Uber codes.

Yes, we have this problem also! Be nice if wedding wire would allow "fill in the blank" option on the RSVP area for Shuttles or other options. Busses are very expensive and advanced head-counts are necessary just like meal options. I considered adding an event to the wedding and making it for the shuttle, but it's yet another separate step for the guest and makes it overly complicated. Hope they do something about this~
