Organizing addresses

Andrea, on November 2, 2018 at 12:09 PM Posted in Planning 0 21
Hi fellow brides!

I have started to collect addresses so that I can send out my save the dates. Does anyone have any tips on organizing your guest list and addresses? I have tried writing down my guest list and just following it to see who’s address I need to get but I feel like it’s all over the place.

Thanks in advance!

Make an excel spreadsheet, then you can sort by name or any criteria you want! You can even make address labels for thank you notes.

    I used an excel sheet.

It has guests names, how many are invited in the party, their address, and if they RSVP yes or no. It then adds up for me how many people RSVP'd yes and no, how many days until the wedding, etc.

Hi My Jan Bride Friend, Have you started get RSVPs yet? We are getting ready to send out our invites next week or the week after?

I did the same with the excel spreadsheet. It has been a huge help... I have Columns No Response, Decline, Adult Accept, and Child Accept, Right now everything is "No response" because we haven't sent out our invitations except for Groom and I. It will be awesome when I get responses!!! I am soooo excited!

Hi! No we haven't sent invites yet! We plan to send them around the 12th/13th. We will be out of town all next week and we just ordered our stamps! Once we come back from our trip the following Monday we plan to send them out! I would have liked to send them sooner, but I'm excited to get them out! You seem so organized! Jan. is coming so fast now!

I have a Google Sheets with mine. They are organized by columns: last name, first name, address, phone number, email. That was the easiest way to upload it to for online RSVP. I shared the sheet with the girl doing our calligraphy, which was super great too!

I know! October flew and with the holidays it's going to be here in the blink of an eye!! Our RSVP date is Dec. 22nd and I know it'll take the invite a few days to get from FL to my PA family so I'm hoping just over 4 weeks is long enough for them to decide! A lot of people have already booked flights and hotels which is so exciting I just can't wait to "formally" invite them all!

We literally have people calling us all the time to say they booked their flights, and it makes me soooo happy, but formally inviting them makes it feel official!!! I decided the 20th because our venue wants a soft count by Dec 17th, but that will give me all of the holidays to organize the list (get phone #s for people I don't have that haven't responded) and call! I am really really excited!!! My birthday was the 17th, and on my birthday I was like OCT JUST STARTED!!! lol Then on Halloween (as I am rushing to put up last minute decorations) I was like IT WAS JUST MY BIRTHDAY!!... I want it to fly by and slow down at the same time!!

For keeping track of guests I made a Google Sheets that looks like this:

    Guestlist SpreadsheetOrganizing addresses 1

FH is shared on it so we can both access it and edit it whenever.

I already had most people's addresses in my old school actual book address book from sending Christmas cards and stuff and anyone new I just added to it.

We’re using google sheets as well. Pretty much the same thing as excel, but FH can both look at it and update, and we can do it from any computer.

I am using Zola to gather all of my addresses. You can send them a link (through various methods like text ,email , or Facebook messenger etc.)to fill in the information necessary and it will add it to your guest list alphabetically by last name. It has been a lifesaver and so convenient instead of tracking ppl down for their address.

Second this! Zola was such a breeze to use for the Guest List tracking. It'll tell you up top how many people have missing info and gives you a little template email to send them. You can also invite them to other wedding events that you may be having all in one location and track RSVPs. Such a lifesaver!

I used google sheets, which is like excel just google and free. I also counted how many yeses and no's that I had, as it kept track for me.

Google sheets here too! I have columns for each household's titles, last name then first names, how many people in household, then the address. It made it so easy to print out so my mom and I could tag team save the dates.

Excel Excel Excel. Simplest. Save the doc to the home computer or laptop you can both access. I have already doubled mine into a seating chart to get an estimate of how many tables I need. Will do a tab for addresses. Then edit the seating chart as people rsvp.

Made a spreadsheet in Google Drive, so I could access it anywhere at any time. Started out adding names of all the guests in alphabetical order, then as addresses came in from our parents and H I added them to the list. Once they were on that spreadsheet, I also added them to my guest list on The Knot so I could have it in another place! I had both because I’ve heard horror stories from WW and The Knot of people losing their entire guest list and addresses, plus gift information because website glitches deleted stuff or layouts changed.
I shared the sheet with my H through Google Drive too and highlighted addresses we were still waiting on at the end so he could finish up!

I would recommend numbering your guests and keeping an address book. it also makes it easier when you get your rsvps
