Need help with my day-of timeline!

Lisa, on January 28, 2021 at 10:33 AM Posted in Planning 0 6

Hi all, I could use some help finalizing our day-of timeline- I don't fully know what I am doing! We are staying in a local hotel (hair and make-up coming to the hotel for me and my mother). Before the ceremony, my partner and I are going to another location for first look/some pretty pictures. Then we are having our ceremony in one location that is a bit DIY (with a day-of coordinator), then going to a private room in a restaurant for a tasting menu. We will have 7-8 guests (parents and siblings) and the two of us. I welcome any feedback about this- we just had to change venues this week, and I am worried that I am missing logistical issues, not leaving enough time for things, etc. and I have to finalize the ceremony venue times today (and now have to also adjust other times as necessary, such as hair/makeup, photographer, etc.). Thank you in advance!!!!

Tentative plan:

1pm Cut-off time to finish hair & makeup for bride & MOB (will ensure we eat before hair & makeup- the company said we might need to be flexible on what time of day the hair is done such we are such a small group compared to bigger wedding parties, but that they would be done by our cut-off time)

1-1:30pm Finish getting dressed and organized

1:30pm Bride & groom leave hotel for first look pictures (15 min drive + parking = leave 30 min for travel)- have mothers drive us separately

2pm Bride & groom pictures off-location (photographer said this should only take about 30 minutes); ceremony venue rental starts; day-of coordinator and rest of guests (siblings and dads) arrive at ceremony venue to help set up

2:30pm Bride & groom travel to venue (5 minutes + 10 min for parking)

2:45pm Bride/groom/mothers arrive at ceremony venue, help set up, get ready

3:15pm Start ceremony (we will be livestreaming it, but will put together a slideshow with music and pictures, so I think it will be okay if we are are a little late; will likely be 20 minutes, give or take

3:45-4:15pm Pictures

~4:15-5:15 Champagne toast with light snacks (cheese/crackers, veggies/dip), cake

~5:15-5:30 Help coordinate clean-up with day-of coordinator

5:30pm Couple + guests leave; day-of coordinator finish up any last tasks if needed

5:45pm Wedding couple + guests arrive at hotel, can shower/change/relax

6pm Ceremony venue rental ends

7-7:15pm Leave for dinner (will arrange group transportation; only about a 10 minute drive but leaving in a buffer for people being late, etc.)

7:30pm Dinner reservation

This looks pretty good. I would run it by your HMUA and your photographer. As well as the DOC you mentioned. They will be able to help you finalize a timeline based on how much time they need. As far as set up, how far in advance can you decorate the ceremony/reception space? Don't forget to allow yourself time for that if it is DIY.

Thanks for your thoughts! We can only decorate it while we have it rented, day-of. I left an hour and 15 minutes for set-up with the DOC and 3 siblings helping- it would just be setting up the arbor, arranging chairs and furniture (already at venue), getting cake/snack delivery (just basics like cheese and crackers, veggie and dip), putting up some flowers (very basic, like a centerpiece and some for the arbor), and putting out the champagne/cups/plates. The livestreamer would also be setting up during this time as well. We weren't really going to do anything much fancier than that. Do you think that all sounds reasonable?

Yes, that should be fine. Especially since you have a few helpers!

The hairdresser just said, "let me know what time you need to be done." We have the photographer for four hours and she is pretty flexible with what we do in that time.
