Need help with day of wedding!!

Rebecca, on July 15, 2024 at 9:49 PM Posted in Florida Planning 0 2
My fiancé and I are struggling to find a business that sets up and tears down our decorations, tables and chairs at a venue we chose in St. Petersburg, Florida. It seems everything is so expensive and we are trying to find a reasonable pricing company. I just want to refrain from asking family and friends to do it.

It may work better to post in the general planning or reception categories. You probably will get a suggestion not specific to Florida, but there could be some quicker response. At least you have awhile before the event.

I am not sure if you have hired a wedding planner, or have at the very least a "day-of-the-wedding" coordinator, but they might be more helpful in terms of having an assistant or two help with set up and tear-down. I have yet to hear of companies that specialize specifically in wedding tear-downs because that is usually handled by the venue, vendors if the items are large (like a massive canopy), the wedding planner/ day-of coordinator and their assistant, and/or the bride and groom with their family.

If push comes to shove, and you have to do most of the tear down yourself, consider these points:

-When will your venue be okay with you or the vendors bringing in items to store at the venue prior to the wedding set up? Some venues will be okay and have designated spaces, others will not. Ask for the specific time and date you can drop off, or have to bring items.

-Will you be able to store the items at the venue overnight? Does your venue charge an overnight storage fee?
I had a Sunday wedding, and my venue charged a $100 overnight fee, and I had to pick up all wedding items prior to 1:00 PM on Monday morning.

-Very Important: If you have an item that is rented that you are responsible for bringing back to a vendor, ask what their insurance policy is and also the cost of replacement if the worst was to happen. Find a family member or friend that you truly trust who will remain sober enough to drive and help you transport this item immediately after your wedding.

-Unorthodox idea 1 (I did this for my wedding): Consider storing your items in a large, rolling storage tote like Husky or Sterilite (40 gal. give or take). You can find some at hardware stores and online. They are not "pretty" but they are sturdy, can hold heavier items (so long as you don't over stuff), and can even be stacked. Since you are in Florida, I suggest putting trash bags to line the bottom of the boxes, and doubling on trash bags to put the wedding items in so that water does not get to them. You can even put large, furniture covers on top of the entire storage totes if you are transporting them in the back of a truck.

-Unorthodox idea 2: Find and rent a storage unit for a month prior to your wedding that is close to your venue. It makes things much easier to locate and transport prior to your wedding, especially in rolling storage totes.

-Unorthodox idea 3: Talk to your DJ about finding a vendor to help with tear-down. DJs can be some of the best unsung wedding heroes around and are usually know several vendors in the area. They might even have a DJ assistant that you can recruit through them for tear down if you are willing to pay a bit more.

My two cents. I hope this helps.
