Need advice! Special photo op or private look of ballroom?

Hey brides! We have a dilemma and our wedding is in 9 days. Our cocktail hour is an hour and a half long, 6:30 to 8. and we are not doing a first look (absolutely not and we are both not being convinced otherwise lol.) During that cocktail time, we need to do family formals (not many photos, photographer said 20 mins max), a few bridal party photos ride outside the venue, and a special photo in the city at a location which is a ten min drive away. The best man is driving us so we don’t have to worry about parking. But the venue gave us the timeline this week, and they want us back at 7:35 (reception is at 8) to have a private look of the ballroom all decorated before people start entering. If we do this, there’s almost no chance we can do the special photo 10 mins away, but we really want this photo. Are we going to miss out on an important moment if we don’t do this private look of the ballroom??? I didn’t even know for sure this was a thing, but now I’m worrying I’ll miss out on something if we don’t do it? But getting this other photo is really important to me. Help! Lol. Thanks ladies!

    Could you appoint a friend or close family member to do the ballroom look? It seems they just want to be certain everything is as you want it so they can make any last minute changes if it is not. It totally sounds like someone else could take this on if they have a good vision or guideline of what you are looking for.

    If doing the special photo is more important, I would let the venue know what your plans are in the event you can't make it back. Also, as PP stated, you can have someone else look at the ball room. They can take a video or picture if you want to see what it looks like before everyone else gets there.

    Ohh, I thought it was supposed to be a special thing for the bride and groom to have a “moment” in there...if it’s about checking that everything is ok i def don’t need to do it lol. My decorator is my friend and I have complete confidence in her!

    It sounds like the picture is very important to you. I understand because there is a specific picture that I want that is at a different location. I wouldn't give the picture up. I know I'd regret it. The one I want is going to be the picture we have blown up and hang on the wall, so yeah, I wouldn't skip it.

    I would maybe do the important photos not at the venue immediately after the ceremony and then do the remaining ones. Family photos can be done pretty quickly and even during the reception. At my sister’s weddings we just had the DJ announce it, like all of the brides family please report to so and so location for picture and it took 5 minutes
