Length of time to get contract after touring venue

Rachel, on August 7, 2020 at 12:18 AM Posted in Planning 0 10

Hi everyone! Not sure if this is the right category to post this in, but I figured I'd try it here.

My fiancé and I toured a great venue and have talked with the coordinator there at length. She's verbally confirmed that they would host the wedding on the day we requested and we've discussed tons of little details, including the time of the ceremony, reception, etc. However, it's been a week since our tour and verbal commitment and she still hasn't sent a contract our way or told us the final cost so we can pay the deposit. This is despite the fact that she told us she'd give us a specific cost breakdown and contract within a couple days. I don't know if I'm crazy for feeling like a week is a long time to wait for just the first draft of a venue contract or if this is a warning sign of trouble to come.

How long did you all wait between verbally agreeing to a venue and receiving a contract and deposit amount?

Sometimes it takes vendors a while. I remember our ceremony venue took so long sometimes to get back to me with answers. So a week is actually pretty ok.

We verbally committed to our venue in September with the agreement that the venue would hold our date for us, and we officially signed the contract and paid the deposits at the end of October.

A week isn't too bad to wait - if you haven't received the contract or any communication from them by early or middle of next week, I would send a follow-up email.

Did you talk about receiving one? When we talked to our venue, we talked at length about everything, including costs. The coordinator told us to let her know when we were ready for her to send the contract.
Also, final costs likely won’t really be in there. It’ll give you a breakdown of cost per person, but since so many things go by final counts, you won’t truly know until you have your final headcount. Your venue may have minimums but it shouldn’t lock you into a certain amount in case your guest list changes.

When we toured our venue, our sales coordinator wrote up a proposal (cost, breakdown, etc) & she gave us a week to think it over while holding our date for us. We ended up calling back not even 3 days later & FH went in that next Saturday to sign the contract (I was busy with work) and made the deposit.

You won't get actual specifics until your final payment is due around your wedding date, the price in the contract is based on what you book it for. For us, we booked for 60 people (around 15 are kids) and the price will go up if we decide to change some details or add more guests (our final count is due 7 days out). So a week doesn't seem bad at all, if you don't hear anything in the next few days then I'd touch bases & see what's going on.

I wouldn't stress over a week especially with Covid around many people are working from home or not in the office as much. I would send an email inquiring about it but I don't think a week is too bad. I believe we received our contract in a few days and had 2 weeks to sign and return it. I wouldn't stress about it, like I mentioned earlier just send an email if you are worried

It took a week or two between touring, deciding, receiving the contract and sending the deposit.

A week is not bad, but if it bothers you (it bothers me when people don't email me back right away because I'm super paranoid like that, when I know it's not their fault), definitely send them an email with a friendly reminder. Probably most vendors/venues are busy right now with COVID madness and may be behind on their to-do lists so just a gentle reminder couldn't hurt.

It literally took us 4 months to get our contract.
    But short story - long
2/14 we decided on our venue unseen and said give us a contract 2 weeks later we said we were taking a long weekend and wanted to see the venue and followed it up have contract ready and we will give deposit. 2 weeks later the world shut down and said she would send a contract when they reopened - June 7 we finally got a contact. Be patient, reach out every couple of weeks.

I would say it took a couple of weeks after we toured the venue. The coordinator first had to put together a custom menu based on the things we discussed. We wanted a buffet since it would be cheaper, but none of their standard packages were buffet style. When we toured the venue we expressed to her the type of food and things we were interested in so she designed a custom package for us. She then had to get that approved by her boss then submit the proposal to us. We reviewed the proposal, sent her questions she then responded then we reviewed her response. Once we were okay with the proposed menu she had to draft a contract. The contract didn't originally include the menu for some reason so we went back to her and asked her to include the agreed upon menu in the contract before we would sign it. That way we had everything in the contract. She sent us the updated contract which we reviewed and returned to her within a week. With all the back and forth it took longer.

Our venue has us in the calendar for our date we can’t sign a contract yet because they’re closed due to COVID restrictions.
