Is there a way to track thank you notes without it being part of the wedding website?

Janna, on June 11, 2021 at 11:43 AM Posted in Account Support 0 11

Does anybody know if it is possible to track who you've sent a thank you note to and who you still need to send one to within the spreadsheet where are all the guests, meals, rsvps, etc. are? I tried adding another category to the spreadsheet, but that also added it to my website....which I obviously want to avoid, this is just for me and my organization!

If it's not possible, I'll track it in Excel, I was just hoping to keep everything together in one place.

Any recommendations/information would be welcome.

Thank you!

Janna

Hi! The way I am planning on doing it is going to planning and clicking on my guest list. Then add a new event and name is "Thank you notes". Click confirmed when you've sent/wrote their note and leave the rest on pending for the ones that you still need to do. Hope this helps!

You might want to test that before you actually do it. I tried adding it and, unless there's a box to check or uncheck, an option gets added to the rsvp page that says "Thank you note". If it works for you, let me know!

Hey there! One idea is to go to your Guest List, select a guest, and add something under the Notes section once you've sent your Thank You note. If you want more ideas from our Support Team you can reach them to ask questions or give suggestions at help@weddingwire.com

I tried adding a new event name, but that also adds a new checkbox to your RSVP page (if you're using that). Thank you for the suggestion, though! Somebody else suggested putting something in the notes section, which might be a good idea...if you're looking for a way to track as well.

Thank you for that suggestion, that's probably what I'm going to end up doing. I tried reaching out to the support/help team and they just responded saying it's not possible. I appreciate the suggestion!

It's kind of a backwards way of doing it, but you can create "Lists" within the specific event (Wedding/Rehearsal Dinner/etc) and assign that to people. It doesn't show up on their RSVP--I tested with a "Sent" and "Not Sent" list option, and then there is a Lists tab within the event that you can see who is in the "Sent" and who is in the "Not Sent" lists (or whatever you pick). That might be what I end up doing.

I tried that, but if you do, then it adds that option to the online RSVP (which we're attempting to use for those tech-savvy enough...though maybe not for those in their 90s who are attending). I might try doing that after we receive all the RSVPs.

    Thank you for the suggestion!

Not if you do a List (where they have A, B, or C by default). I think the List option is for people who do a second round of invites after the first round of declines come in. I just tested it with a handful of people, and it didn't show up on their RSVP.
