How to tell a vendor I'm not in need of their services anymore?

Soooo recently I posted about my musicians that I hired. Long story short, I thought I was getting my violinist and cellist duet, but unfortunately they changed that on us and will be providing a flutist and cellist duet instead. It wasn't under their control and something happened to their 2 violinist backups. I was pretty disappointed hearing the news because my heart was set on a violinist and cellist, and that's what we first initially hired them for. I know a flutist would sound just as beautiful, but everytime I look up YouTube videos of flutists and cellists together, it just wasn't the sound I wanted...


So then I reached out to other musician companies in my area just to see what's available and I found someone last minute that will provide a violinist and cellist duet!

Now I'm wondering how to break the news with my current musicians? I've only paid for the non-refundable deposit so not much will be lost. What should I tell them? Say "unfortunately we are no longer need of your services" ? Would I have to give a reason why? How should I word it? I also feel kinda bad doing this to them. 😔 Help!

    Definitely email them so you can have it on record. Be honest but write it politely and sincerely.

    Like PP said email it so you have it in writing. I’d just say that while you understand it is out of their control that they are not able to provide what you wanted you have your heart set on the duet you want. And let them know that you were able to find another company that could provide what you wanted.

    I would just tell them you realize that the loss of the violinist was out of your control but that you really wanted a violin and cello duet. We thank you for being willing to play at our wedding but we have decided that we no longer need your services. As pp's have said put that in writing. Maybe mention that you understand you will lose out on the deposit but since we are cancelling services we will not pay the remainder. Although, check the contract to see if there are any terms for breaking the contract without further payment.

    I don't think you really need to give a reason, other than that you really wanted the violin and cello duet, and they cannot provide that. I'm glad to hear you were able to find another option last minute!!

    Also, definitely email them to tell them you don't need their services, but you don't owe any kind of lengthy explanation.

    I honestly wouldn’t even stress it if I were you! At the end of the day, they can’t provide what you booked them for! “Hello, I have found another vendor whom can provide a violinist and have decided to go that route. I am no longer in need of your service but I thank you for your time. I am aware of the non-refundable deposit. Thank you.”
