How often do you communicate with your venue coordinator?

Layla, on September 15, 2021 at 7:33 AM Posted in Planning 0 7
My venue is 3 hours away and they coordinate the caterer, hotel block (rooms are on site, it’s a resort), officiant, photographer, florist and a few other things like spa reservations and hair/makeup appointments. One person coordinates all of this. Since I started planning 4 months ago, we’ve literally sent over 100 emails about choices for all of those vendors and ironing out the contract details. Is this excessive?? I feel like she’s annoyed by me and I’m worried she’s going to want to put less effort into my wedding now…

Are the 100 emails mostly just back and forth between you and the coordinator? So you ask a question, she responds, you have a follow up question? If so, this is perfectly normal, especially since almost every vendor goes through them. It's literally her job to answer your questions. As long as you're not being demanding of needing an immediate response I think you are doing just fine.

100 emails sounded excessive to me, so I looked back at my communications with my coordinator. In the past 2 years we have exchanged 32 emails- and that included working out the logistics of rescheduling our wedding (and all vendors) due to the pandemic. So, depending on what these emails entailed, it very well may be excessive (especially if you are getting the feeling that she is annoyed with you). What exactly are you emailing her about over 100 times?

    Yea, they’re like:
Coordinator: How many rooms will you need?
Me: 13. Coordinator: What part of the resort would you like the rooms in? Etc
So it’s a lot of back and forth. Good to know I’m not out of control lol

I would make notes of things you want to discuss with her, then send one email a week including all your notes. Also, remember this is her job, she knows what she is doing, and while its awesome to let her know your thoughts and preferences, she's got you Smiley smile

If it's back and forth, especially if she is asking you questions, this is perfectly normal. But if you go to email her with questions, just try to have them all in one email to make it easier on everyone.

Totally excessive. Write more detailed emails to them to eliminate them having to ask so many follow up questions.

I think I've emailed mine 10 times and talked to her in person twice since booking in February.
