How many times did you meet with the venue and the Doc?

So, we are having a 4 day event. So, we have been to the venue 5 times with another visit tomorrow. 1st time to view, second to take fiance and FOB, 3rd to sign the contract, 4th just an overall visit, 5th to nail down bathrooms, showers, amenities, bar, kitchens, Tomorrow to go over decor with DOC. Is this way extra? PS we paid the venue for 4 nights, a wedding reception, a rehearsal dinner, and karaoke. We paid DOC for DOC and for set up and tear down of the venue. Thoughts?

    I think it's fine if you're able to go through the venue on your own (by all means, go as often as you want), but is overbearing if it requires someone to be present/unlock facility for you each time.

    I do think that with 23 days left - if that's correct - finalizing details is warranted. However, it is taxing for the venue. So, make sure that your visit is productive and provide a list of what you need to review - and ensure that those items require a face-to-face meeting to address them. At this point you are familiar with the venue and you need to trust them to do what you've paid them to do. Ultimately, it's a balance.

    I mean yes, it seems way extra. You didn’t need to sign the contract in person. Why did you need an “overall visit” to a place you’d already been three times?? And I definitely would have bundled the details (bar, bathrooms, etc.) visit with the decor visit. Do you have any other visits planned after this one?

    We have no more planned. This venue does not do electronic signing. It is rustic and in the North Georgia Mountains. The first visit was just for a visit to choose venue. The second was to allow the groom to visit the Bride's top 3 venues. The third was to sign contracts. The fourth was to meet with the DJ (owner's son who is in music biz and laid off due to COVID) and just overall chatted, I asked to speak over the phone and the owner was like no, come on up sit down, we can do this in person. The fourth was because we decided to do the 3 extra days paid for separately for the wedding but for the rest of the event. Tomorrow is because we are meeting the coordinator who hasn't been to this venue in 3 years and she wants a walk through. We don't need anymore but the owner is so excited. It is about 2 and half hours outside Atlanta so the venue suffered with COVID. She calls me I think more than I call her, but I feel it is excessive. I want to be able tomorrow to say ok, we don't have anymore time and we are done. Also, now that I think about it the first visit was in January 2019 and daughter decided to wait to do October 2020 because of grad school and then moved to October 2021, COVID. So, when we decided to look again last year it had been 18 months. So, maybe not so excessive. Smiley smile Two and half years of planning, thanks COVID.

    I don’t think it’s too much. All the visits seem very productive. It needs to be done. I think we went to our venue a total of 5 times too.

    I think we have been to ours four times! Its on the water and there is a marina there. Since they share the main office someone is always there.

    First to do an in person tour after we had done a zoom tour (due to covid), second was for the tasting, which was a group tasting so we weren't the only couple there. Third was for a decor appointment which was optional but I wanted to see the linen options. Fourth was for our final walkthrough. We will go a fifth time for the rehearsal. Also my aunt and uncle (uncle is our officiant) randomly dropped by one day and did a little self-tour and our coordinator happened to be there so they met her briefly.

    It definitely seems like it's an above average number of visits but not excessive! And the venue reached out to schedule each of these with us.

    I have been to our venue 4 times already, once to see it, another to sign the contract, and two more times to make payments, I have probably 1 or 2 more visits to make the final one or two more payments and will take my photographer on one of those visits so she can get a feel for the place and do a mock up of a table. Im sure I will go over at least one extra time right before to finialize any planning ideas.

    No, I think you are fortunate. You have a big event and are probably spending a great deal of money there. So the more details you can work on while being in the actual space, the better. In fact, if your day-of coordinator is going for the first time in 3 years tomorrow, they will probably want to visit another time before the wedding so they feel super comfortable. How exciting for you!
