Hotel room blocks that we have to guarantee?

KandMsayIDO, on December 17, 2016 at 8:25 PM Posted in Planning 0 21

So we're having our reception at a certain hotel in the Atl area so we figured that it only made sense for us to have our guests stay at that hotel. Well while discussing this with their manager, we were told that they would hold x # of rooms for us and if our guests did not consume those rooms that we would have to pay for them. Is this normal?? I have done other hotel contracts in my line of work have never encountered this, albeit for business. I'm going to fight this more, but I wanted to know if others had encountered something similar with room blocks.

I honestly wouldn't do it. Your guests can still choose to stay there if they would like but there's no way I would want to be responsible for unhooked rooms.

Yeah, some do it depending on the location. The hotels we are using don't, but we are outside the "downtown" area. Usually larger cities and places with a lot of events and business will do that so they don't lose money.

We're doing this. We have to fill 80% of the rooms which I don't think will be a problem. Book less than you think you'll need if you're concerned and ask if you can add more at the same rate.

We went to a few different hotels, and 2 of them required a guarentee - and we opted not to go with those hotels.

Directly across the street (at a nicer, newly built hotel) they didn't require any sort of payment from us. They will hold the rooms until one month the wedding when they will be made available to the public.

You should never book a hotel that makes you pay attrition. I've worked in 4 diamond properties and we didn't guarantee attrition. They should release any unsold rooms 4-6 weeks prior to arrival to avoid you having to pay attrition. Find another hotel.

I wouldn't. Any adult who has left their house overnight knows how to book a hotel room. If you want to give them a list of area hotels, do it, but this is not your responsibility.

Thanks all! I figured that with all the revenue that we're bringing by having our reception there, room blocks wouldn't be an issue. There are other hotels around that I will suggest to my guests. I do not want to have to pay if someone decides not to stay there. Side note: I would be completely fine if they released the hold 4-6 weeks prior to the wedding.

I too am getting married in the Atlanta area. I reserved a hotel block and no guarantee was required. Keep looking but keep in mind the fact that Atl is a family reunion hot spot so hotels are at capacity in many areas.

Had the same issue in the chicago land area....one was 90% another was 50%....both got the boot from me! DON'T DO IT! Some will say that if they resell the rooms you'll be off the hook but I wouldn't trust it!

We have room blocks set up but if they aren't booked 30 days before they release the rooms and we do not have to pay for the unused room. I wouldn't do it if they make you pay unless you have guaranteed amount of rooms you will be booking.

I haven't seen that. We booked a block of rooms for guests to stay in, but the unused ones will be released a week before the wedding to general guests.

We're responsible for filling 80% of the rooms in our room block.

Most hotels say you have to fill x% of the block, or pay for the rooms yourself. This is partly why I am sending std's out so early to encourage people to book their hotels.

I was a Group Sales Manager at multiple hotels in Atlanta... It really depends on the dates. Atlanta has several city wides that the hotels bank from so they have no reason to waive attrition. If it's not over a city wide I would seriously have another conversation with that manager. We always waived attrition requirements for weddings at our hotels... And I've sold the Ritz Carlton, InterContinental and Marriott brands.

Ours does it only if we don't cancel unused rooms by a certain date. It's like the headcount for the caterer. About two weeks before the wedding, the hotel will give us our final count for rooms. Any unused ones we either cancel or pay for.

There are plenty of hotels that don't make you pay the difference. Find one.

Unless this is resort area, in the high season, you shouldn't have to enter into this arrangement. MANY hotels in Atlanta area. I cannot imagine why 7/22 would be a big weekend in ATL -- not the SEC championship or anything I can think of. Many guests may have reward points at hotels and may want to stay a hotel they can stay at free, or may even stay with friends or family.

DON'T do it! There are SO many hotels that offer this service for free that there's no way I would pay for it! You are doing THEM a favor by bringing them business.
