Hotel Information on Wedding Website

Becoming a Mrs, on December 16, 2015 at 9:27 AM Posted in Planning 0 14

I am having hotel information on our wedding website - I was wondering for those of you who have done that same,

Did you add the price of the different hotel rooms?

What other information did you include? I have address, contact information, and once we get the shuttle info I will be adding that as well.

Thank you in advance.

I didn't list the price. This is what I wrote:

Discounted rooms are available at the xxxx for September 29th 2016 - October 1st, 2016. You will be able to choose from studio suites or one-bedroom suites.

Please reference the following group codes when booking a room for our wedding:

    Telephone bookings: xxxx

    Online Bookings: xxxx

The cutoff date for discounted rooms is August 30, 2016.

I also listed the address and phone number of the hotel.

I put the price on, but that's only because I have blocks at two different hotels and they have different price points. One is almost $60 higher than the other, but shares a parking lot with the reception venue. I figured I'd rather have my guests know ahead of time which hotel they would prefer based on their budgets. I second writing a lot of what @LaurenET wrote, especially the cut-off date. With your wedding being a holiday weekend, there probably won't be any wiggle room on that cut-off date. I did list a few of the amenities of the hotel (free parking, free wifi, free breakfast, indoor pool, etc) so people know what to expect when they get there.

I put the price. I only blocked at the one hotel and wanted people to know the price up front in case they wanted to look for a cheaper option. I also gave all the information on extras (free parking, full complimentary breakfast, pool, wifi, etc) so that people would know. Then of course the cut off date and what to reference to get the rate.

I would say if they're around the same price you don't need to list the price, but if there are huge differences, like one is the Four Seasons and the other is a Motel 6, then you should list the prices. Also, if there is a cutoff for the discounted rate, I'd put that on there too so they know how soon they need to book.

I wouldn't list the prices at all, even if they are different. People will figure that out by calling or by recognizing the names. I would put contact information, any special instructions or codes, website links and that's it. If one is connected to the venue or something, maybe list that but no prices.

We didn't list prices because the link to the hotel websites automatically showed the prices when the guest clicked the link. Besides the website, we also included a physical phone number to make reservations in case the link didn't work or the guest had questions about accomodations.

As a guest, I don't want to have to contact multiple hotels. The purpose of the wedding website, in my opinion, is to make the wedding easier for your guests, especially those who are traveling to be there. On our wedding website, we have the name of the hotel, the address, the phone number, and website, along with a picture of the front of it. Below that information is the following (with details changed).

If you'll be spending the night in Gainesville, we hope that you'll stay at the Crown Plaza.  Since the reception will be held in one of its ballrooms, it is the most convenient hotel for those attending our wedding festivities. Also, we'll get to spend more time with everyone if we're all in the same place.  The hotel is offering $99/night when you book with the wedding block.

To book with the wedding block, you MUST call the hotel and ask for the "Smith and Jones room block".  Please book as early as possible so we can increase the size of the block, if necessary.  The final deadline to book your room with our block is April 22, 2016.

The hotel has free parking, an outdoor swimming pool, fitness center, 24-hour business center, free Wi-Fi, and a restaurant.  Each guest room has a coffeemaker, hairdryer, iron and ironing board, in-room safe, and balcony.  Additionally, some rooms have refrigerators and microwaves.

This whole this-is-a-wedding-so-we're-not-going-to-list-prices thing really pisses me off. I hate when vendors do it, so I am definitely not doing it. I actually refused to book vendors that didn't have pricing information on their websites because I want to reinforce good behavior. *Rant over*

This is what we wrote (with some details edited out):

A block of rooms has been set aside for our guests at the __________ Hotel, The Depot. Reserve online or call (612) XXX-XXXX or (877) XXX-XXXX to make a reservation under the W______/P_______ wedding.

To obtain the group rate of $109/night, reservations must be made before January 12, 2016.

The Depot is located at XXX XXX Avenue South, Minneapolis, Minnesota. To get to the hotel from MSP airport, we recommend taking a taxi. The hotel is also accessible via public transit: catch the light rail (Blue Line) to the Government Plaza Station, which is 3 blocks south of the hotel. For additional information on The Depot, please visit the hotel’s website.

ETA: we have hyperlinks for the online reservation and hotel's website in the text.

Also we are including all parking and transportation info separately, and will put info on the hotel shuttle in hotel guest's welcome bags.

This is what our says. There are a lot of things going on in my town that weekend so we wanted to emphasize to make the reservations asap. We then listed the hotel name, address, phone number, and link.

We have reserved room blocks for your convenience.

Please call the hotel to make reservations under the XX-XX wedding block as soon as possible. There are only so many of each type of room so please call early to guarantee the room you would like. The rooms and discounted rate are available until April 15th.

    1 King Bed = $XX

    2 Queen Bed = $XX

    1 King Suite (includes a sofabed) = $XX

    1 Queen Suite (includes a sofabed) = $XX

We didn't have room blocks so I added the google price range to at least give people an idea. We were married in a big city so there were $400 hotel rooms and $99 hotel rooms. At least giving people a range helped point them in the right direction based on their needs.

I listed the $$ for the rooms on our site. I wanted to give people as much information up-front as I could, since attending a wedding is already enough work Smiley smile

A note to reserve early to get the discounted rate, rate expires 30 days prior to wedding date, the link to reserve, picture along with address and link for directions, room rate and the dates the rate is good for, and a note that there will not be a shuttle provided from hotel to venue. I think that is the basics.
