Hotel Blocks - How far in advance?

PortlandBride, on September 18, 2010 at 2:23 AM Posted in Planning 0 25

So, I sent my Save the Dates out back in August. I sent them early, as we have a lot of people traveling from overseas, and we wanted to be sure they had time to plan.

Also my shower is in November, as that happens to be the only time we'll be back in FS's hometown prior to the wedding.

So, after speaking to FS this week, seems people are already booking hotels, which seems a bit early, but made me think I should probably start contacting hotels.

Seems a bit early to me though, but guess it does no harm. What are your thoughts?

We did ours just recently and we're a bit less than 5 months to go. They filled up pretty quick too but we have a lot of out of town guests.

I was wondering this too. We have a year to go, so.. I think I'll wait. I want to send on STDs by mid Oct.. so I have to have it done by then. I think were getting a 9 bedroom beach house and that;ll fit everyone. all (40something ppl)

We called as soon as we set the date (a year in advanced). It's never too early, but it can be too late, call when you can!

I just figured that whole thing out and we are getting married in July. It doesn't hurt to get it over with, it's one less thing to worry about =)

I actually called the hotels before I sent out my STDs so that I could include the hotel information on the STD for my OOT guests. I just figured that it might be easier that way- just sent my STD out on Thursday but I've been coordinating with hotels since Sept 1. I think you should get on it now since ppl are coming from overseas. My guests are just coming from OOT but not out of the country and i know that they are goin to be ready to book as soon as they get it. . .

I think it depends on the hotel. There is a hotel here that is booked over a year in advance. As suggested, definitely inquire at the hotel as soon as possible.

I am blocking my rooms before I send my STD. Which should be in Nov/Dec. I want to be able to give people the info so they can get the discount.

Def depends on the hotel. Our block of hotels didn't open until we signed the contract! AND even though it was ~100$ cheaper than a regular night, it was more expensive than going through AAA. So just some advice, do some homework, lol.

I already have mine blocked off. I did that about a month and a half ago!! But then again, all my guests are coming from OOT and I wanted them to have the option to sign up early so that they can save up for the travels Smiley smile

We blocked ours out in June, so 4 months in advance.

I haven't sent out STDs yet, but most people already know when it is. We're doubling up our Christmas card with our STD. BUT---I've had hotel blocks for at least a month now. Some family/friends needed the information for traveling/financial planning purposes. If I didn't know that they were interested, I might have waited, but it really only took 10-15 minutes of my time to do.

Do you have to give a credit card in advance? How does it work?

We are using the Hyatt Place, and they did not ask for a credit card. We simply filled out a form with the dates needed, the guess of # of rooms needed (which is TOTALLY flexible), and that we could get a complimentary room if 10 rooms were booked and paid for on our wedding day. There was no deposit or cost to us.

We are getting married/having our reception at a hotel in April 2011 and they had us book our hotel block last month. I guess it's never too early.

@Sunny- No you don't, not unless you want to pay for the guests rooms. We blocked the rooms out and didn't have to take on any of the excess ourselves. How it works is, whoever hasn't booked by Sep. 30th doesn't get the discounted rate. We have no fallback on the unbooked rooms. But everywhere is different so you might want to call to make sure.

I know we have to book early because it's over the College World Series. So of course prices go way up too
