Vendor wouldn’t send modified contract?

JanissC., on March 23, 2018 at 1:13 PM Posted in Planning 0 17

How are you vendors handling changes in their contract? We emailed our caterer two weeks ago with the final number of meals, and two small changes in the menu. After being ignored these past weeks, I finally text messaged him today to confirm the changes. He texted me back saying that menu changes and numbers were confirmed, and proceeded to tell me the amount for our final payment. When I asked for a modified contract, with the info of final payment and modified menu he told me that he was busy with tomorrow’s wedding, but that everything was confirmed for mine. Should I reinforce modified contract? I want to, mainly because I am angry at his response of being busy with tomorrow’s wedding (he didn’t even say he will work with it on Monday or another day). But, I also wouldn’t want to make a fuss out of something that is the norm? Mind you, the number of meals and final cost is less now.

I would at least get a receipt or something that shows the changes.

We didn’t modify the contract with our venue (also our caterer) but we did have a final invoice with our numbers on it, and a receipt from that being paid.

I’d still ask for a final invoice that breaks down all the costs. It’s for your peace of mind and should be no trouble at all for a professional caterer.

I would want an updated one just to be safe (but I'm a paralegal so what's on paper is key for me lol). I'd maybe just reply with "it can wait until next week if that's better for you" or something along those lines. And of course keep any emails/texts just in case there is an issue with the total amount later.

Yes, get a copy of the changes and him confirming in writing. Whether it's email, receipt, contract. He needs to follow up Monday.

I'd push for a contract. The text message is reassuring, but not really enough for a professional. Maybe on Sunday you can email him to ask how Saturday's wedding went and that you would like an updated contract by Tuesday. There's so many stories of people being screwed over because they didn't have a contract (or an updated one or whatever) and I think it's been long enough.

Thats is what I want basically, all I have right now is just the emails and text messages confirming everything. I would prefer to have an invoice to feel safer.

I would absolutely request an updated contract and would continue to contact him until one is provided.

You aren't being uptight. I would tell him that you understand that he is busy today with the upcoming wedding, but that you need the updated invoice next week.

Done! Messaged him and told him that as soon as I have the final invoice, I will submit my final payment. Wish me luck, and hopefully he doesn't spit in our food.

I would wait until Sunday/Monday and follow up with a request of a modified contract. Our venue always sent a new contract when we made a change. I can understand the busy with tomorrow’s wedding comment only because it was through text. His full attention is on his client tomorrow right now. At least he responded. If it had been an email (longer form of communication) then perhaps he would have taken more time to include an “Ill send it Monday”. However I would still push for one after his wedding tomorrow is over.

Literally all he needs to do is plug some numbers into a spreadsheet to provide an updated invoice. I understand that he says he's busy tomorrow, but there is no reason he shouldn't be able to provide that for you before your wedding.

Oh yeah, I understand that his main focus right now is the wedding for tomorrow, and hopefully he will have the same focus for ours. But I did also emailed him with the changes two weeks ago with no response from him, and our wedding is in 3 weeks.

I will definitely follow up with him maybe Tuesday?

    Thanks for the advice!
