“Day of Coordinator” To hire or not to hire!

Hi All!

My question is: How necessary is a day of coordinator?? I’ve heard good things about them and how much they helped with the flow and timeline of events. And I’ve heard some aren’t so good and you’re stuck with doing stuff yourself or your wedding party taking the hit and putting out fires.

Here are some details on my wedding. Let me know if you think I should absolutely fork over $1000+ to a coordinator for one day or if I can do it myself. (I’m on a tight budget so $1000 is A LOT for me. My dress plus alterations was cheaper than $1000)
I am getting married Nov 12th, 2023. Our venue provides the catering and bar. Our good friend is gonna DJ for us. I’m not having much decorations. (Main table decor, sign-in table decor, and arch decor). The venue is providing all tables with table linen and china that they set up. I’ll rent the ceremony arch from them. I’m having my ceremony and reception in the same place. We get the venue from 12-12.
So I’m just curious what others think about using a day of coordinator? Thoughts!? Comments!? Tips!?

    I initially didn't think I needed a day of coordinator. However, my husband and I changed our minds and ended up booking one, and it was the best decision!! She helped with a lot of things: she coordinated our rehearsal and wedding day ceremony, she was the contact person for our vendors throughout the day, received the flowers and cake deliveries, handled setup/tear down, prevented people from constantly interrupting me while I was getting ready, setup beverages and appetizers for my husband and me to enjoy in a separate space after the ceremony and before our grand entrance into the reception, kept our timeline on track, signalled to the DJ when it was time to play specific songs, recorded all speeches and spotlight dances on her phone to send to us immediately after the reception, helped gather people for photos (and ensured that they didn't wander off while waiting for their photos), gathered up all cards and gifts and stored them in a secure location, made sure the venue was keeping our dessert table stocked, etc.

    However, I've also attended weddings that didn't have day of coordinators, and they still went smoothly! If you're OK with handling a lot of the tasks yourself or if you have family/friends that offer to help (receiving any deliveries, setting up, communicating with vendors throughout the day to keep everything on track, etc), then you could certainly save the money and skip the coordinator. Otherwise, hiring a day of coordinator will ensure that you don't have to worry about anything except marrying your future spouse and enjoying the day, and will also ensure that your friends and family don't have to work while at your wedding. You may be able to find someone for cheaper than $1,000, especially if you limit the tasks that they're responsible for and/or find someone who's just starting out as a coordinator.

    We found having a day-of coordinator to be extremely valuable. Me, my husband, our immediate families, and our wedding party could just be present for the day while someone else made sure the flowers and cake arrived, the DJ was still coming, and placing the centerpieces on the table while we all got ready. If something happens, people aren’t coming to you about it and stressing or freaking you out about something (I heard of one wedding where the caterer came to the bride and told HER they were out of food; she of course burst into tears!). I’m not sure where you are located, but I was actually able to find a wonderful coordinator for $800 total. She was wonderful and I wouldn’t go back and change that decision if I had a do-over.

    I found hiring one incredibly helpful. Skipping out on some things to afford one was well worth it. I had a small wedding, nothing too extreme but I didn’t have to think about a single thing besides enjoying my day and my family and friends were also able to have a good time

    There's a difference between planning and executing. Whatever your budget, I would recommend an external pro or a valued family member or friend who can manage the execution of your wedding schedule and coordination of vendors and guests experience.

    Having a DoC was one of the best decisions we made. She kept everything on schedule, made sure vendors and guests were where they needed to be (when they needed to be there), and just made sure that neither we nor our families/friends were bothered with small details.

    Another thing is that when I recently went through DOC interviews, I found that most of them were technically month of coordinators instead. There were maybe one or two who kept their work strictly to the day of, but most of the ones I talked to included vendor coordination and support plus an extra meeting or two in the month leading up to wedding. The woman I hired has already been amazing, and she does monthly check-ins to see if we need help with anything and is going to join us in our meeting with our venue planner…yes, this is all still part of her “day of” services lol. So if you talk to a few, I’m sure you’ll find their packages are much more expansive than they sound, which makes the cost a lot easier to swallow. And it’s just so nice to pass along our vendors’ contact info and know we won’t have to worry about all the behind the scenes stuff going forward.

    We hired a company that offered month-of coordination, a day-of coordinator, and they also handled floral and décor. The floral and décor were beautiful, and the girl who did the month-of stuff was a rockstar. Both of them I'd hire again in a heartbeat. The day-of coordinator wasn't the best, but I did really appreciate that there was someone who would be in contact with any of the vendors, handled the setup/ tear down, and would be able to handle issues without me needing to be involved.
