What's the best time of day/week to contact wedding venues?

angemarrelic, on September 25, 2016 at 9:35 PM Posted in Planning 0 20

Sorry in advance if this has already been answered on here (1st time poster)... I have to know if anyone else having a hard time actually speaking with someone at prospective wedding venues? I need advice on what day of the week, and what time, would be best to call and actually speak with someone. I have emailed 8 venues from the WW app but some of these venues I've also already called and left messages with over a week ago (with no response) or emailed more than once (still no response). I'm only asking for some pricing details and the opportunity to visit the facility. I need help, please!?!?

This is a super busy time for them. October is the new June when it comes to weddings. You still have a year so give it until the beginning of November then make calls

I would definitely try during business hours. Alot of venues are not as busy during the week.

I would say weekday mornings would be a good time to try to call. Definitely not on weekends.

I have found that the best time to contact them is anytime during business hours tues-thursday. Weekends are super busy because they are dealing with weddings they have going on. Mondays they are normally in meetings discussing the previous weekends weddings and how things went. And Friday they are doing last minute meetings and rehearsals

Thanks for the advice! I'm just getting worried there won't be any fall dates left for venues I'm interested in if I wait too long. I've had many friends book their venues 18 months out to ensure they got the day they wanted. Slightly freaking over here! Lol

Not trying to scare you, but you should def get on it. Most venues are available during regular business hours. I booked my venue in may for my March 2018 wedding and they told me they were pretty much almost booked up for 2017.

Yea... You definitely need to book asap. Im having a winter wedding, Janaury 2018, and the weekend I am getting married in was the last weekend my venue had all the way up to May 2018.

When they dont reply my emails I just follow up... if they dont reply back for a 'new business' how are they going to reply you when they have your money on their side?

Also, if you are writing directly from WW- I would suggest to look for the venue website or facebook page because sometimes that tool doesnt work as it is supposed to do. I think because they receive so many that IDK it could go to spam or they dont look at them because of timing or something.

    Good luck!

@Melissa that's exactly my thoughts! I'm actually terrified that it may already be too late to book a venue for October 2017. If I have to push the wedding out to 2018, it wouldn't be the end of the world, but I'd honestly rather not do that. I've thought about the possibility of choosing November or December 2017, as I'm not completely opposed to having a winter wedding, but in Northeast Ohio, I'd rather not chance a full-on blizzard for my day

10/7/17 was my first choice date and I couldn't find any venues with that date! I was looking this past April. The venue I went with literally only had 9/30/17 left and the owner told me other brides were trying to pay off the one the reserved 10/7!! I'm in Oregon though, so the beginning of October is prime weather time. It may be less popular in Ohio

@HavanaChic My sister gave me pretty much the same advice as you. "If they aren't responding now to a prospective client, what happens after they get your money and still aren't responsive?"

Very good point! I'd hate to be ignored after I booked a place Smiley sad

I also considered the possibility that my emails are going to spam. I will try calling places this week and re-sending emails directly from venue websites or Facebook.

    * Side note - I have tried all of the above already

With my venue, Tuesday, Wednesday and Thursdays worked during business hours. Call if you are able to.

I would say Tuesday - Thursday. I would also try calling. Some respond to emails but really it's easier to get an answer by calling...

I understand! I desperately wanted our venue and a December wedding. We got tboned by a careless driver on our way who injured us and totaled our car! I still pushed to get there after we went to the ER and with concussions.

But we got it! Smiley smile

I'm sure if you're willing to be flexible with your date you'll find something for 2017.

Definitely keep trying until you get a response. My first venue didn't waste any time in responding to my inquiries, and even included their menus, but they only had 1 day timeframe and 1 evening timeframe available in October of 2017!

Check your venues websites to see if they have an event calender, and look for open house dates if applicable. I'm going to one in a week!

But if they can't be bothered to return multiple emails or phone messages, I would scratch them from the list. Even if you do get a hold of them and manage to book, I wouldn't be feeling very important as a customer, and would worry about how they would handle planning and managing my event. That's just me, though.
