Wedding Venue- 1.5 weeks away!

Emily, on June 14, 2021 at 3:17 PM Posted in Wedding Reception 0 15
I’ll keep this as short as possible. Our wedding venue when we booked back in 2019 was AMAZING! I mean, the views were breathtaking but the staff was so phenomenal I couldn’t look anywhere else! Our original wedding planner was the best ever, seriously. I am so thankful she did 99% of the work getting everything together for us. Fast forward to June 2020 when our wedding was postponed to this summer due to covid. Now fast forward to March. My wedding planner who I love just resigned, along with 80% of the staff at my venue due to a new buyer of the resort who cut salaries down. Now fast forward to June, where I’ve already had TWO new wedding planners since Kristen left, and they both have sucked. I’m trying really hard to be positive and patient due to the fact that they no joke are probably planning about 50 summer weddings, but I also know that the squeaky wheel gets the grease. The new wedding planner, Nicole, sent me the finalized details to look over, but a LOT was wrong- right down to the price they “think” we owe. I’ve tried to have a phone conversation with her numerous times but she’s never available and every time I email her to set up a time, she never has a day when she can. I’m super stressed because a lot of things were incorrect on our timeline and not to mention them saying we owe more than we do. This 20 guest wedding has not been cheap - 24k to be exact so while I’m trying not to be a big ole’ B word, I also want the wedding I’ve been waiting for 2 years now because of covid. Reaching out to my planner is doing nothing, my husband is more and more angry by the second about this situation, and I am honestly at a loss on what to do. Oh, and to top it off, the reviews for my venue on Trip Advisor have gone from 5 star reviews last year to 1-2 star reviews this year - all from the new management cutting cleaning staff, hotel staff, etc. Yuck!!! Help me!!!!!

Best thing you can do at this point since the sales person won't answer is to stay on the phone until you speak to management. Weather that be the DOS (Director of Sales) the management member over the sales team, or the general manager.

Have your previous contract in hand. Read the fine print, make sure they can't increase prices on you. Go through your bank statements and track down every receipt you have.

Do not let them hang up on you or take a message.

Let them know your wedding is a week and a half away and you will not get off the phone until they speak to you. You can apologize for inconveniencing them if it makes you feel better, but you have every right to make yourself a nuisance at this point.

Oh no, I would keep trying to get in contact with her. Is it possible for you to just drop by the venue one day? If your wedding is less than 2 weeks away you definitely want to know how much you actually owe and get to the bottom of that.

Thank you. Our venue is 2 hours away, so I COULD but I really just need a quick phone call to clarify questions and figure out how much is due. I personally think that’s rather ridiculous not knowing when the wedding is 11 days away!

Thank you for your advice! I do need to call and demand to speak with someone in management. They aren’t raising the prices, but rather charging me for things I’ve already paid for, so you are correct, time to break out the receipts!!

I've worked for a hotel in sales before. It sounds to me like the sales rep you're working with is dodging you, so go up the chain at this point.

If they're anything like my hotel they should have a system where they track all communications, so whoever is in charge at this point should be able to look through everything and verify what's been done with you guys.

Genuinely stand your ground, be calm but assertive. I would call straight through to the front desk rather than trying to call the sales department because they may just not take your call if they're avoiding you.

"Hi, I need to talk to xx in the sales department. My wedding is next week and I have a ton of questions about some billing items, so it's really important I speak to them. If they're not available I need to speak to a member of management right now. With the short timeline I have to talk to someone today, so I'm happy to hold for a few minutes until someone is available."

I understand, that would be inconvenient. I would definitely keep calling and as others said ask to speak to management. Hopefully everything works out for you

The time for niceties is over. I agree with others, get on the phone and demand to speak with someone. You don’t have any more time to worry about details, they need to fix this ASAP. It’s their job! Get those receipts out as well. Shame on them for not having their act together. I’d be calling every day, multiple times a day until I got someone on the phone. Good luck!

I am the least confrontational person around, seriously...but you are certainly not paying for such horrible service. At $1200 per person for this event, they should be making enough profit to give you better service. As worried as you are about being considered a B, you should go over her head as soon as possible!

Thank you! I called and I was told that the head of sales will call me tomorrow at noon to discuss the remaining balance/our wedding details!

That was my thought exactly- I don’t want to cause a problem, but I’m a paying customer too! I called and the head of sales is going to call me tomorrow at noon.. can’t wait to have that sense of relief!

Good! If you don’t hear from them by 12:30, call again! Hopefully it all works out.

Wow I’m so sorry to hear that! I hope you get your questions answered. I would threaten with a bad review but in a nice way nobody wants bad reviews if they want to run a successful business. The party planner probably have a lot on their plate more that they can possibly do if management isn’t running a smooth operation. Wishing you and your fiancé the best of luck. This is supposed to be a happy time and I hope it gets resolved so you don’t have to waste your energy on this. Having your contract should be a saving grace for you since I would think they have to honor that.

Good! I know someone said if they hadn't called by 12:30 to call them, but don't give them that much time. If more than 10 minutes past noon they haven't called you call them and don't let them say 'oh they're at lunch they'll call you back' or 'they got pulled into another meeting' or whatever. Come back with, 'Cool. We had a scheduled call. Please put me through to the general manager because I'm entirely dissatisfied with the service I've received so far. My event is in less than 2 weeks. I can't afford to wait around on them any longer'.

Will do! They sent me an updated bill, which was totally correct minus our two night stay changed to one night. I forwarded my original contract that states two nights stay in it and they are still calling at noon. Fingers crossed it all goes smoothly!!
