Wedding Coordinator

Hi everyone!


I was just notified that my wedding coordinator has quit and won't be coordinating my wedding due to her own personal reasons. I'm 3 months away from walking down the aisle and I'm wanting to pick a different venue since I feel no connection with the new coordinator. They're trying to stick to the no refund on the deposit because we're less than 180 days away. Has anyone else gone through this before? Any information would be helpful and appreciated 🙂

    Unfortunately, if you signed a contract stating that there was no refund on the deposit then the chances of them giving you any money back is pretty much nonexistent.

    Okay thank you for the info! It's not really about the money, I just feel heartbroken that I'm having to go through all the planning process with someone else. Planning a wedding is stressful enough! Lol

    Unfortunately, if you signed a contract stating the deposit was nonrefundable, I don’t think you are probably going to get any money back. I would just give yourself a little time to get used to the idea of the new coordinator. You obviously loved your venue when you initially signed the contract, so I’m sure you will love it still with this new coordinator. Just give yourself a little adjustment time to process this unexpected change in plans. I would also encourage you to try to be patient and understanding with the new coordinator. Keep in mind she is probably incredibly overwhelmed having just stepped into this new role and taking on all of these weddings at once, without any prior knowledge or communication with the couples. I know it’s a bummer starting from scratch, but I would try to build a positive relationship with this new coordinator. Maybe send her an email congratulating her on the new position and expressing your excitement to work with her and catch her up on all the details of your wedding.

    That is a bit of setback. sorry you had that but it is one thing that can happen. If everything else is intact, keep those benefits in mind.

    I'm wondering a couple of things here. Will the quitting coordinator assist with details to transfer the details and status to another coordinator? Also, did the coordinator do an amount of work sufficient for the amount of the deposit? I presume it would be.

    For us, I'm wondering if it works to find a small partnership of wedding coordinators where a person would rotate in to the position left by the other.

    It's pretty common for venues to turn over coordinators. While I can understand being disappointed by having a new coordinator, I would give the new one a chance. Everything you've discussed/agreed upon should be in writing anyway so I don't know how much she'll really need to go over with you.

    You signed a contract that is non refundable so you will not get your deposit back. But it’s their responsibility to find you a new coordinator. Read the fine print of cancellation protocol which is valid on their end as well since they are not upholding their end of the agreement.

    In addition to what the others have posted, it might be difficult to find a new venue and coordinator if your wedding is in three months. I would suggest sticking with the original venue and giving the new coordinator a chance.

    Thanks everyone for your insight! I will definitely talk it over with said new coordinator which thankfully is provided by the venue.. I guess I have trust issues lol and when it comes to new people I automatically put a guard up. I'm working on it!! Thank you all for helping me relax and have a different outlook. 😊

    Is it a day of coordinator who works with you or a venue coordinator? A venue coordinator really only works with the venue to make sure all rules are being followed and lights are on and vendors leave on time, and often will not be bothered with decoration setup. Talk to them to make sure you are on the same page.

    Does the venue only have one Coordinator? Ours had 3 different Coordinators. We immediately jelled with the one they assigned us. She was on top of every detail.

    Might I suggest doing a little coffee meeting with the NC?? If your struggle is trust maybe scheduling a quick 45 min meeting focused on getting to know them and them getting to know you and your vision for your wedding 1st hand would be beneficial. 🥰💕💕
