Venue Site Fee - What Is Typical?

My fiancé and I are in the early stages of planning. We looked at a barn venue and fell in love! The venue rental fee is $6,000 alone (which includes the grounds/barn, bridal suite, and tables/chairs), and then the caterers range from $100-$110 per person (includes food, non-alcoholic beverages/mixers, custom cake, dessert, servers, bartenders, and plates/flatware). The barn is BYOB and semi-DIY. They provide some decorations that have been left over from other weddings that we can use without an additional fee, and will set up/take down if we choose to use their decor.

I’m a little confused on the pricing because it seems like more typical venues who advertise the cost as, say, $110 per person, is just that (and includes the above mentioned amenities) without an additional site rental fee. And if that were the case, then that would mean that we would essentially be paying an extra $6k for our wedding since the caterers cost the $110 per person alone. Can anyone provide insight into the cost and site fees?

    Our wedding venue required us to spend $7,000 minimum on food and beverage. We got married at the same venue as our reception and to have ceremony there it was an extra $500 on top of the $7,000. Based on what you have said, the $6,000 is to rent the space. Barn weddings are in right now so $6,000 for the space sounds about right.

    This is so variant on where you’re looking and what types of venues you’re looking at. Some that we looked into had a separate rental fee outside of the catering/bar cost. They ranged from an additional $1,000-$5,000. Some venues we looked at didn’t have any site fee if you met the food and beverage minimum but that number was always between $10,000 and $15,000.

    Everything depends on the place but for me that more on the expensive side. When you add up the people fee plus rental fee it’s a looot. I’m paying 110 per person and that it, no rental fee and it’s all inclusive. Just 500$ extra for the ceremony. They just ask me to have a guest list of at least 50 people

    Oftentimes there is a separate site fee. I cried when we visited venues in Napa... most site fees alone were $10K-$15K!!! 😡 😭 So we decided on a very small wedding there (15 guests) so we could do a weekday wedding and a local reception. We negotiated the site fee to under $5K.

    Saturday night weddings are almost always premium charges. Can you ask your venue for Fri or Sunday night rates? Or consider a Sunday brunch wedding? You might save a lot.

    This varies so much by region and type of venue... but we are having our ceremony & reception at a barn venue in PA, just outside Philly. Venue cost was $5000, and we had a choice of preferred caterers, the ones we're going with are almost $100 pp. The venue also has a stock room of decor I can use.

    This is exactly why I didn’t have a barn wedding. Everywhere I looked the site fee was 4K-7k and only included tables and permission to exist there for 5 hours. I ended up going with an all-inclusive venue to save the headache.

    It really depends on venue. We're paying 2k for the reception venue ( tables,chairs, staff included) and $500 for ceremony site which is on the grounds of our rrception venue. In addition we chose a buffet menu at $49/person which is catered on site. Were also doing a limited hosted bar which is based on consumption. Every venue we looked at was different. Make a budget and find a way to have everything thats important to you within that budget.

    This is so variable based on where you are. We are in New Hampshire and the venues we looked at all had a venue fee that was completely separate from the cost of food/cost per head. Venue fees at the places we looked at varied from $2000 (for literally just the land with no chairs, tables, tent, or other rentals) to $12,000 which typically included chairs, tables, and a covered reception area.

    The venue we selected is very similar to what you described except they also do their own organic, farm-to-table catering as well (with an award winning chef), and we get the site for pretty much the whole weekend, including an on-site AirBnB that sleeps six. On our itemized estimate the site rental is $8,000 (includes AirBnB house, tables, barn, and some chairs, but we have to rent additional chairs for the outdoor ceremony site) and the cost for food and service per person is around $94 (for hors d'oeuvres, salad, meal, dessert, and light refreshments), not including alcohol, coffee, or bartending service. Add in those necessary extras, and the cost per head ends up being close to $265-$280 for a 60 person wedding and decreases a bit as we add guests (up to 120) because of economy of scale (we are renting the facility for $8,000 regardless whether we fill it to capacity or fill it with half the amount of people). Even though the cost is way more than we wanted to spend, it actually ended up being the best value when we factored in the quality of what we were getting, the included extras, and the piece of mind of using such a highly recommended and professional vendor.

    From what you’re describing it sounds more like an a la carte type venue. So the venue fee can be pretty pricy. But if you book an all inclusive with in house catering then they just let you know that there is a food and beverage minimum. All the venues we looked at were all inclusive because we decided that catering included with the venue was important for us instead of doing outside catering. With that said it just depended on the venue on what their food and beverage minimum was.

    maybe if this sounds like it can be an issue for you and you don’t have your heart set on that particular venue, looking into venues that are more all inclusive that way you can save a bit on the site fee and you won’t have to worry about an outside catering vendor.

    Also just to note all inclusive venues usually offer packages which include linens and such. I didn’t see from your post if that was included with your caterer. All these little things that I honestly would have never thought about definitely add up and another reason why we went with an all inclusive because those little things are included. Another major point to think about is clean up! Who is responsible for that? You definitely don’t wanna be the person cleaning up your wedding but I mean clean up services can add to the cost as well.

    Yes! What you had for your wedding is what I’ve been seeing, and I wasn’t sure if I was missing any additional rental fees.

    Oh my goodness! That is a ridiculous amount for just the rental alone! 😥 I’m glad to hear you were able to negotiate the cost. Your super intimate wedding sounds like it’ll be lovely 🤗

    The Friday and Sunday rates are only a few hundred less than the Saturday. And even if we chose a Sunday brunch at this location, the rental fee would be the same😕 great suggestions though!

    Unfortunately, we do have our hearts pretty set on this venue. I’ve been open to looking, but nothing has come up that makes me fall in love immediately. There are a lot of nice venues, but nothing with the same charm.

    The caterer does include linens! I forgot to include that. I also had the same concerns that you mentioned about the clean up, but when we visited the location, the owners put me at ease with that to let me know that the caterers clean up the food items (with an additional but small fee) and that they will clean up their decorations (which I intend on using if we go this route!). I’m also going to be very minimal with any additional decorations / flowers. I’m thinking mason jars and baby’s breaths. I’d totally let them keep the jars if that means they’ll clean that as well 😄

    Wow! It sounds like where you’re located is quite expensive regardless of venue! What a great perk with the AirBnB! It is still quite pricey but it sounds like you’re getting some additional amenities for that price.

    I didn’t mention that this venue, like yours, is also a flat rate of $6k regardless of how many or how little guests we end up inviting. We are also shooting for a 60 person wedding but the venue can accommodate up to 120. Thanks so much for that link! I’ll have to take a look, I’m sure it’ll give me additional insight 🙂

    Oh, cool! Okay. It’s close to Coatesville, PA. About an hour west of Philly.

    There are definitely cheaper places in South Jersey (that’s where my fam is from so they were pushing me to look there).

    But if you’re planning on having a smaller wedding, a big barn venue might not be the way to go since they’re priced out for larger events.

    There are so many factors (location, time of year, day of week). We ended up scoping out a venue that allowed us to bring in our own vendors. It's a barn type setting and cost us $5250. Holds up to 300 and has tables, chairs, bridal suite, kitchen, some decor, and lawn games. The only two conditions are that you use a bartending service that lists them under their insurance policy (choice of 3) and you must hire their security at $100/ hour. Everything else is free reign. If you search enough, you can find a venue that's a bit more reasonable than $100-$110/person imo.

    Our venue had no site fee if we met the food/beverage minimum (which we did easily lol). Ours offered packages starting at $75 pp and went up to I think $95 pp? We were at $90ish after an additional hour of the open bar and carving station upgrade. Our fee included 5 hours of a standard open bar, cocktail hour appetizers, a buffet with 1 salad, rolls, 1 starch, 1 veggie, assorted fruit, 1 pasta entree (with meat), 1 regular entree, and 1 carving station. It also included linens, standard banquet chairs with covers (we upgraded to garden chairs), and all event staff. We live in a low cost of living area (Midwest), so that makes a difference!

    I grew up in Northern New Jersey. NOTHING is cheap there. A venue fee of $6,000 for what you are describing sounds pretty reasonable for that area of the country, but you'd really need to shop around and compare to be sure.
