Venue-head count??

Future381sWife, on April 4, 2017 at 5:28 PM Posted in Planning 0 26

My wedding coordinator told me he needs my head count two weeks before. That seemed "early" to me. Is this the norm? I was thinking 4-5 days would be sufficient. I was going to mail invites around July 10th and ask to have them back September 1st. Too soon to mail the invites? Too late? I figure I could make a list the few days after the deadline to call anyone who didn't respond. This has me perplexed. Thanks in advance!

ETA: spelling...

Final head count two weeks before is the norm. Sending your invites July 10 is right on track. Your RSVP date sounds good to me, since that's when you'll need to give your venue your numbers.

Great! I was thinking of giving him the "hard count" then say we have "X" number I'm calling. And asking for a couple days. We aren't doing a huge guest list so I believe it won't matter too much.

You should set your RSVP deadline earlier. If you have to have numbers in two weeks out, you'll want to give yourself at least another week for follow up calls to those who haven't sent their RSVP back.

I laughed because I didn't include us in the head count.

2 weeks is normal. Ours is 2 for most vendors and 4 for one.

1-2 weeks before the wedding date is pretty normal for handing in a final head count. Set your RSVP deadline 3 weeks in advance of your wedding date to give yourself a week to track down the non-responders before handing in your final numbers on the date your venue requires them. You can leave your mailing date the same. 5 weeks is more than enough time for guests to figure out their plans and respond.

2 weeks is very normal. That isn't early at all. You should have your FINAL count by then and make all your calls prior to that.

Your RSVP date should be a month before your wedding day which gives you two weeks to call people.

Invites should go out two months before your wedding.

Two weeks is the norm. They need to order food and schedule staffing.

I didn't want to send the invites too early and seem like an eager beaver!

@celia I guess it is the norm just seemed early. Maybe because my timeline says "mail invites 7/8/17.

The WW timeline is about 10 weeks out which isn't terrible. I sent my invites out 9 weeks early (the standard is 6-8 weeks). My RSVP deadline is two weeks before the venue requires final numbers, which is a week and a half prior to the wedding.

I'm glad I mailed my invites out at 9 weeks, because some guests didn't receive their invite until a week later.

You can still send your invites 8-9 weeks before the wedding (July 10th is fine).

The RSVP deadline should be 4 weeks before the wedding which then gives you two weeks to call people before your venue's deadline.

Right now, your RSVP deadline (Sept 1st) is too late.

Ours is 48 hours for a final number, but a week for a general headcount.

Two weeks before is the norm although the site Coordinator at my venue just emailed me today asking numbers. I told her it would be another week.

I would mail them out on July 16 and have the rsvp date be August 16. That's the timeline we used.

My headcount is 1 week prior. I think 2 weeks is also normal. More than 2 weeks I'd say is a bit much. And yes some places can do 4-5 days but you want your venue to be prepared for your guests. Listen to them.

I think I might ask for them back a bit sooner then 9/1!
