Vendor Meals & Surprises

So some of our vendors required a meal in their contract during the wedding. My fiancé and I decided to provide all our vendors meals even those without this is their contract. When reaching out to our DJ who is also part of the same company who our videographer is with, we learned that our DJ was bringing as assistant who will also accept a meal. We had no idea that this assistant existed or was coming to the wedding, it is not in the contract and it was never mentioned. So now we have another meal we feel obligated to pay for that we were not budgeting for. Am I being unreasonable being irritated about this?

    Yeah, I feel like this is something that should have been specified in your contract. Or at least discussed before now. Wow. I’d be a little irritated, too!

    That would bother me too. He should have been up front about it and it most definitely should have been mentioned on your contract.

    Did the DJs contract require a meal? If so and they didn’t mention the assistant then that is odd and I’d be annoyed. But if they don’t require a meal, then I don’t see why it would’ve mattered that he had an assistant, it wouldn’t cost you money. So if that’s the case, it’s a bummer you’re out another plate but I don’t see how this is the DJs fault

    It's more we offered the meal to him and he extended it to him AND his assistant who we didn't know about.

    Totally agree with this. I would be glad if one of our vendors brought an assistant at no cost to us. He wasn’t requiring a meal, you offered it.

    You should talk to your caterer. We are also feeding out vendors but they won't be getting all the extras our guests get, not the open bar. Our caterer is only charging $20 per vendor plate. We have a DJ, an MC, 2 photographers, a videographer and his assistant. All 6 will be getting meals.

    So we are providing vendor meals to our DJ, photographer, and videographer whether they have it or not in the contract. We are also thinking of providing a meal for the photobooth person, however, when I was going through their website, I saw somewhere that they sometimes have 2 attendants. That would be an extra cost for us. So at the moment, I am not sure what to do about this.

    Two points here:
    - Vendor meals are usually not full meals that guests get & caterers typically charge 1/2 price for them. So I’d talk to your caterer.
    - DJs sometimes come with an assistant who helps them carry the equipment, set everything up & check the sound, but then they leave because there is not much for them to do once DJ starts playing music. So in this case you wouldn’t provide a meal for assistant, because they would leave before dinner starts. I’d check with your DJ what assistant will be doing & how long they’re staying.

    I think since you made the decision to offer meals to all vendors, regardless of contract, then you signed up this. Personally, I think it's great to do what you are doing. I can see how it's frustrating, but I definitely think you should include the assistant.

    I ordered Panera for my vendors. It's good quality food and I want to make sure that they aren't hungry; however, you are not a guest...you're working! Why would I pay over $100 each for people whom I don't know? Jmho

    Pretty much all our vendors have assistants, and we are feeding them all. The vendor meal is like $20 so I'm not too worried about having a few extra.
