Transportation head count due 60 days out?

Hi everyone, I am having a semi destination wedding in the mountains and I wanted vans to bring people from their hotels to the venue for convenience and safety. I just got the proposal from the transportation company and they want a head count and final payment 60 days out (and it’s a lot more than I originally thought too). I was planning on our RSVPs being due like 3-4 weeks out. I have tried to contact other companies but they didn’t respond. I don’t know what to do now! Anyone have experience with this?

    Argggghhhhh! That's super frustrating. Is the "a lot more than you originally thought" still doable? Are you willing to pay that much? If not, then I'd just let it go. (Or maybe just do vans for the wedding party and family?) If you are potentially willing to pay that much, I'd ask if you can guarantee a minimum number, with the potential to increase it when you have your final numbers. Based on what you've said, I don't think there's any way it makes sense to ask for RSVP's more than 2 months in advance, so I'd try to negotiate something that will work for you with your more reasonable time line.     Is it a per person price or just trying to see how many shuttles you’d need? We didn’t even ask people to RSVP to the shuttle we just calculated what size shuttle based on who booked rooms.

    So with the numbers they first gave me I thought it would be $1200 and now they’re saying $2000, which is over my limit especially since it would be due by 9/24. The wedding party and some family is staying in rental houses on site, but some family prefer to stay in a hotel. Some friends are driving but some are flying and I was hoping people could drink with no worries. I will try to negotiate but I don’t know what they’ll say. If not I might just have to give up and figure something else out 😔

    It’s per van, so I was planning on using the hotel info to estimate the number. But our hotel deadlines are November 1, and I feel like it’s unreasonable to require people to book their hotel by September?

    Can you talk to the company and just be up front with not having the numbers that early? They have to realize that people usually don't RSVP more than 2 months in advance.

    That would be ideal and I can ask! I just don’t know what the best thing to do is if they say no. I don’t want to throw away $2000 if people don’t use the shuttle.

    I attended a wedding once where the bride and groom just rented a van from a car rental company and then paid someone they know to drive guests to the venue. Maybe that could work for you?
