Transportation for guests?

Nick, on May 17, 2017 at 12:56 PM Posted in Etiquette and Advice 0 24

Our ceremony and reception are at the same venue. We have a block of rooms reserved at two hotels. The hotel we are staying at is 2 miles from the venue, the other is 5 miles away. Guests that would stay at the hotel that FW and myself are staying at are: parents, wedding party and grandparents. At this point we don't know who else would be staying in hotels (wedding is in Oct)...We are thinking most people will just drive home after the reception and not stay in the hotels. And it's not like the people that are staying at our hotel are going to be so intoxicated, even if, there will be plenty of sober people going to the same hotel that help with transportation.

Should we provide a shuttle to the wedding and back to the hotel or not? It's anywhere from $600-800 for this, seems unnecessary considering how close the venue is.

Transportation is really nice but not at all required.

Not required for you to supply but have you checked with the hotel? All the hotels near my daughter's venue provide free shuttles.

I hired a school bus for only $400, if that might help you save money if you decide to do it still! Our hotel is a 10 minute drive, but I would personally rather provide the transportation than take the chance of someone driving drunk leaving our open bar wedding, even if it is down the street.

Not required and frequently a reason the ceremony starts late.

Ours is different as it is an OOT wedding for everyone, but my suggestion would be see how the blocks fill (if they fill). We just finished booking the buses like this week (wedding in 6.5 weeks). Obviously we're not in school then, so we aren't competing with town needs/high school sports, but we had no issue getting a bus this late in the planning process.

If you've got about 20 or so people staying at the hotel (non WP) I'd say look at some options, whether it's buses, Uber, or something different.

Imo that sounds like a lot. We spent $200 for transportation to and back for 20 people. We all stayed at the same hotel though and the venue was 15 miles away. My price was for Shanghai, China.

Thanks. Unfortunately the hotel does not provide free shuttles.

I personally think you should, especially if the wedding is an hour or more away for most of the guests, but that's just me.I feel ya on transportation being pricey but maybe you could do school buses. That's what we are doing, I just don't want people to have to worry about driving. I know when I've gone to weddings the transportation was used by the majority of the guests and greatly appreciated by everyone.

I am having a full open bar and having shuttle service from the hotel to the venue and from the venue back to the hotel. Even though the hotel is only .6 miles away. I dont want my guests driving, even .6 miles, if they have been drinking for 5-6 hours. It was an extra $900 cost, but it will put my mind at ease that I did everything on my end, to keep my guests safe.

We have a lot of people coming from OOT so we are providing transportation. We're not sure how many people will be renting a car so we figured it was a good idea.

How far do your guests live away from the venue? any out of town guests? why won't anyone be drinking (at least that's what it sounds like)?

It's not required but we are proving a bus for our guests.

Not required, but would be appreciated I'm sure.

Our wedding was similar. Many out of town guests were staying at a hotel we reserved (and where we stayed). I first checked with the hotel, but they didn't offer anything. Since most of the OOT guests were DH's friends, I asked him to arrange the transportation. Long story short...it didn't happen. We were all sitting around waiting for taxis at the end of the night Smiley sad

I agree that it's not required. We have a school bus to take our guests to and from the venue, but that's because the hotel is a good 20 minutes away. (There's a giant event in town and it was the closest I could get, even 11 months out when I found the block.) It is costing us $675. We're in CT, for reference.

Thanks for the input. Right now it's just hard to say how many people would be staying at the hotel. There are some OOT guests and I'm sure they will be at the hotel. But if most people will just be going home after the reception then there's no need for transportation. Maybe just a small van for the few that will need a ride.

I'm in the same boat as @Sleepy. My venue and hotel are 25 minutes apart because of a large event happening nearby. I'm still trying to figure this one out. No real way to know who will need it, yet. I'm still doing some research but am considering Uber Events or renting a shuttle.

Check out an Uber Event I think they call it. You can sign up with Uber and they give you a code for your guests to use for rides. You only pay for the rides you use. This is what we are doing as we don't want to spend hundreds on a bus/shuttle and not a lot of people use it.

It's definitely a nice gesture but not required.

We are providing transportation because our hotels are 15-20 min away from the venue and I really want people to stay and have a good time at our reception without worrying about driving back to the hotels. We have quite a few out of town guests so it seems worthwhile as I know a lot of people will be utilizing the hotel blocks.

ETA: We are actually using the county transportation authority for ours. It's a little bit of a different process, but great because they only charge you for the time the shuttles are in use. Might be something to look into, although I'm not sure this is a thing everywhere or if we just got lucky that our county offers this service.
