Table for vendors?

MrsRies&Love, on March 5, 2018 at 2:12 PM Posted in Wedding Reception 0 26

Ok...I never thought of this for some reason, but now I'm so disappointed in myself for not thinking of it sooner!

Do you include your vendors in the seating chart? We are obviously paying for their dinners, but I never really thought of where they would sit while they eat. Should we reserve an extra table for them and include them in the seating chart? I was going to say to just let them eat in the cocktail hour area, but there are only high boys without seating. They need seats, obv. What did you do/are going to do?

I’m planning to give our vendors a separate table. That’s how I’ve alwats seen it done at other weddings.

I am following this. I'm not getting married until September 2019. I know at our venue we have a table for them and there included in our headcount. So I would imagine that we would include them in our seating chart so they can know where they are sitting.

I didn’t. But we only had three vendors (two more vendors arrived after dinner). I have no idea where my vendors ate but I know that they did. Mine at least snuck away for a quick bite. My aunt is a wedding planner and she had a wedding with 48 vendors - I never thought to ask where they all went for dinner! Haha

Our venue has a separate room where vendors can eat their meals and take a break. I'd check with your venue.

    48 vendors! Holy smokes!

We only have the DOC and her assistance, the 4-piece band, and two photographers that we'll need to feed.

My venue has a separate room as well. The vendors all requested a separate room to eat and take a break in.

I had the same question! I asked my venue coordinator and she said generally the vendors there eat in another room. I figure they will probably be pretty happy to get a break from being around all those people and actually eat instead of being pulled away with song request, photo ops etc.

Have a separate room for them where guests can't see, or disrupt them.

I didn't even think of this. I will have to ask our venue where they usually set them up.

We asked our venue where they usually have vendors like our photographer and DJ eat, and we also asked the DJ when we emailed him to ask about his meal choice what is typical for him.

Our venue told us they usually seat vendors in the adjacent room (the conservatory where our cocktail hour was). Our DJ said he usually eats in a separate space provided by the venue or sometimes eats at his sound station if there isn't a separate room. We just did what the venue usually does and let them serve the vendors in the adjacent cocktail hour room.

I'm a wedding singer, and we've never been included on a seating chart, nor did we include our vendors in our seating chart. In my experience playing weddings, we've always been sat in a separate room, like the cocktail hour space, a bar area, or somewhere near the kitchen. We don't expect to be sat at one of your beautifully decorated tables, and to be very, very honest, we don't want to sit with or near your guests. We prefer to be out of sight where we can take a true break; I can pop my heels off for a few, stretch, do some vocal exercises, get some air, check my email, whatever. We aren't comfortable doing any of that when we're in plain view of your guests, because it's not professional.

Just ask your venue to set up a normal table with some chairs in your cocktail area, or see if they can bring in bar stools for the high tops.

Thanks for answering this! I’d never seen vendors on a seating chart but this had me wondering if I was missing something!

I literally only have 2 vendors so I'm not sure where they're going to sit. I was going to have a table just for them.

Our venue provided a separate table for our vendors to eat. We just paid for their dinners.

My vendors requested to eat in the same room if possible for they don't miss anything. I have dj, photographer, and videographer.

Make sure that your venue doesn't charge more for the meals of the vendors if they sit at a table.
Usually, the vendors' meals cost less than the guests' meals because they eat at a break room or back room and not at a table like the guests. We are not sitting the vendors at a table. As an example, vendor meal costs $50 and a guest meal costs $121.

MFB - thank you for giving your input. I never really thought that they would prefer to have a "break" from the event and not be seen by guests. I'm going to look into options with the venue.

Ask your venue for sure! They told me they have a separate table for them in the back. They have another meal for the vendors that’s not the same as the guests. Plus, I guess it’s nice for the vendors to actually take some time to themselves

That's not at all why vendor meals are cheaper than guest meals lol. They're cheaper because they're not partaking in the cocktail hour food, any appetizer/salad courses, or the bar. They're just getting the entree, that's why they're cheaper to feed.
