Setup and Tear down

lilchameleon, on January 18, 2018 at 4:45 AM Posted in Planning 0 22

My venue does not offer centerpiece and decor setup/tear down services, and we do not have access until about 2 hours before the ceremony- which myself and family will be doing photos at that time. And I don't really trust my family to take down everything. Because after a couple drinks my mom is wayyyy out there. So I think the most responsible thing is to hire my florist (who is also a wedding planner), to do decor setup and tear down. Does anyone have any idea how much people typically charge to setup centerpieces, table numbers, and place cards? I'm totally unsure of how much is reasonable for this task.

This is going to vary greatly on experience, location, travel, etc. I’d say, since she’ll have to set up and break down, expect to pay at least $1,000 because she’ll have to keep those times open for you instead of taking on other weddings/clients.

What Sarah said, this will vary. And also because you're only wanting to hire her for JUST the centerpieces, maybe it would be less expensive than hiring a full planner/coordinator. Just contact the florist and ask Smiley smile

I would recommend getting a couple of quotes. There are coordinators on this site and you can compare the prices. Of course, be sure the quotes are detailed, so you won't have any surprises.

We hired a DOC who will handle set up and clean up. Originally her cost for day of services was $1,000, but since we just hired her and we are so close to our date she gave us a 50% discount because it is unlikely she will book the date. I suggest if you haven't hired a DOC to look into one that does set up and clean up. Hiring a DOC so far has been the best decision we have made about the wedding. We have her services the month of the wedding as well to finalize all details with our vendor team. She is already making me feel so more relaxed about the wedding.

I'm not sure on this honestly, but I would guess what others have said. You're paying for that person to block that time out and naturally they will want to be compensated for it. Best thing to do is ask the florist what the average cost if for something like that. That's the only way to know for sure.

She probably has a set rate if she has done similar things in the past. I would ask her first then see if there is any room to negotiate. You may not have a choice. It would also depend on what other services she is offering. I would probably just look into hiring a full DOC at this point (if nothing else, to compare pricing) because it sounds like that is what you need.

One of the reasons why I hired my Day of Coordinator was to help make the day smooth, but also setting up and tearing down is part of her responsibilities-paying her $1,050 but that's for the whole day plus she helps get things the day before and drop off the day after. I think its a great idea to hire your florist to do set up and tear down. My florist charged an extra $150 for delivery and she sets up all centerpieces so that will be worth every penny but then she leaves. Definitely chat with your florist about options to help you with those additional tasks. Doesn't hurt to shop around too first so that you are aware of what others are going for. I remember when I was looking up DOCs, some did offer just set up and take down services but I can't remember what the prices were. Good luck!

Just to be clear, the venue does setup and teardown/cleanup for everything else, right? Like linens, sweeping up, washing dishes, correct? If not then that would be something you want to discuss with whoever you hire.

Our caterer will do set up and take down. Day of coordinators help with this as well, and if you're having a florist deliver the centerpieces ask if they place them on the tables as well.

We are doing our own flowers, and we booked our venue for the full day before so we will have plenty of time to decorate. I'm so excited, it will be a lot of fun! Our family will clean up after the reception.

Family should not be cleaning up after the reception, what a buzz kill. Definitely hire a florist or DOC to do this for you. Expect to pay about $1k, it could be less.

My florist was already setting up the centerpieces, but now it would be the candles and place cards as well, and then throwing that all into the back of our station wagon at the end of the night. My family is unrealiable (I just have a mom) and then his family, everyone has small children, so I feel pretty selfish asking them to help at the end of the night when they’re already be putting kids in bed.

Rental of our venue is $4k per day, so definitely not smart to rent it out the day before. Smiley sad

My DOC and her assistant handled set up and take down and was $800 for the day. The florist also helped set up and the fees for that was $400.

Did they also do ceremony coordination? Or just setup and tear down?

My wedding planner handled all the set up and tear down. She coordinated with the other vendors and my venue, both at the church and the hotel where the reception was, to make sure everything was in order. I paid $1,000 for these services, as well as general help before my wedding. She was definitely worth it, and I highly recommend you hire someone like that to take care of setting up/cleaning up, coordinating with other vendors, etc.

My DJ company is charging me $175 for 2 people for an hour and a half set up. We will clean up ourselves 😬 hopefully we won’t be too tipsy. Lol

We hired stage hands at $20 per hour to set things up and do tear down at the end of the night.

I'm sorry, but if all you want from someone is physical labour and no other services such as coordination then I think $1000 is absolutely obscene for one day's work.

I know I have friends who would totally do this for me with no problem, but our reception ends at 10pm, and everything has to be out by 11pm, and we were planning on having another drink or two at the winery inside my venue, which closes at 11pm, so we only really have one hour for an "after party", so I just don't want anyone to worry about cleaning up and miss out on the winery. Man, I'm glad I chose a venue that does all their own catering, linens, etc... I know there are places that are basically a blank canvas and you bring everything in, and that sounds so stressful.

Yeah, $1000 sounds pretty steep to me. My florist is charging me $750 for my bouquet, my MOH's bouquet, 10 boutonnieres, 6 nosegays, and 16 centerpieces so $1000 more to setup/tear down seems high.
