rsvp worry

Just needed to vent my worries and stress. Okay so My RSVP date is 9/25. We invited 180+ guests. I have only had 40 people RSVP. I have a 100 adult minimum and I'm only at 35 - I'm kinda of starting to freak out because i thought for sure we would have a lot of people come. I gave myself an extra week in case of late or forgotten RSVPs - but I might have to change my whole package to meet the minimum and but then my menu wouldn't change yet its an extra 35$ pp so the food choices are better. (guests have to select their menu choice on the rsvp.) Do I keep the same package and pay for all those people that don't meet my minimum or upgrade my package and lose out on the food? UGH idk what to do at this point.

    Could you try starting to contact some of the guest that haven't RSVP'd like just a sweet text or something saying you're close to the date and if they didnt have time to mail it out they can send it in text or on fb or something like that

    Yeah I sadly was one of those people before i started planning my wedding. I plan on messaging but I'm not just nervous for the lack of responses - but now for my packaging prices. The next one up is 25 minimum less but more expensive. do i pay for all those people that don't show up? or change the package and lose out on the food .. the struggle is real.

    Definitely follow up! People have two more days to drop that RSVP in the mail and then it could take a few days to get to you! On 9/25 you can send out a simple message that you haven't received their RSVP yet and your numbers are due so you need an answer! I had to follow up with a lot of people, but a lot still responded "yes" they were just too lazy or forgot to do the RSVP.

    I don't understand. What happens if you upgrade the package then if the food doesn't get better?

    Try to stop worrying prematurely ! Wait a few days after your RSVP date and start following up. I waited a week after my rsvp due date to follow up, and in the meantime heard from almost everyone. It was clear MANY people put them in the mail *on* the due date & probably after business hours ! But definitely follow up. MOST of our late responders were yeses, so don’t think that just because they haven’t replied means thy are a no!

    once you have all your answers, IF you’re still not meeting the minimum, talk to your venue to figure or what your options are. Maybe instead of changing the menu, you could do add ons — late night snack, extra appetizers, extra dessert, dessert bar services (fancy coffee / tea / hot cholcolate station maybe; I once went to a wedding that had a set up for spiked coffees— a few liquers/liquors and they poured you a coffee plus your add on of choice, and whipped cream! I had a memorably delightful kahlua coffee! Haha), bar upgrades — premium liquors, or if you’re already at the top shelf, maybe you can add a service like champagne toast or wine service during dinner. If you’ve already maxed out on food and drink maybe there’s decor you can change— I might’ve been tempted to upgrade to the rose gold silverware if I had needed add ons! There may be plenty of ways to spend your dollar minimum to treat your smaller guestlist to a truly extravagant event. See what your venue may suggest or may have done in the past.

    I think you’re still on time as your wedding is not until November 10. Before changing or upgrading packages you should first start contacting them to make sure you have the right number. A lot of people forget to RSVP back but they do plan on coming so don’t make a rational decision just yet. Divide the list and start contacting them. After you get your final number then you can decide what’s best for you if changing packages or upgrading.
    If it helps... I only got about 6 or 7 RSVP back out of 27 invitations I send out. That’s 13 replies out of 60 guest I believe. We ended up with 45 guest in the end.

    I had less than half of my guests RSVP. I had to track down about 100 people to send back their rsvp and still some people won’t.

    I’d contact these people after the 25th that haven’t responded and say you need to know ASAP.
    As far as how to meet a new minimum, I have thought about that too in case it happens. If you’re happy with your dinner choices now I would keep those and upgrade other things. If it was me I would upgrade the bar package, upgrade/add a dessert table, upgrade/add to the apps to passed and grazing stations. See if I could upgrade the linens, chairs etc. You could add an additional hour of open bar so the bar doesn’t close during dinner, extend the reception. There is SO much you can do!
    But first find out if these people are coming. That would make me so frustrated to have that many people not bother to RSVP on time. Whatever happens, you’ll meet your minimum and it will be perfect!

    We had an influx of rsvps coming in the day or two before the deadline. People wait til the last minute and still had to follow up with some. I was getting worried like you, but I guess that's just how people can be.

    We were still missing replies from 54 people on our due date but all but 2 are coming. 🤦🏼‍♀️
    So don’t worry about changing your package until after you get everyone’s confirmation back.

    I would contact the vendor and ask for an extension, explain the situation, I'm sure they will understand. Or, take a day to reach out to those who haven't RSVPd and get their info to see whats going on

    Sorry my worried ramble didn't make much sense. I selected my package based of the amount of people I assumed would be there. The more expensive package has a better variety of entrees and apps to choose from. All the food was great we tried at the tasting. if I have to pay more because i have less people id like to be able to have those options. the downfall is i already gave the venue our menu selection because everyone has to chose in advance when they send the rsvp back.

    Can you call the venue and see if they are willing to upgrade your package since you think you'll have less guests?

    That's part of what is giving me a little anxiety. I know I can upgrade the package but my coordinator said I can't change any food choices. So I will have the same menu items whether i spend the extra $35pp upgrade or not.
