Reserving hotel room blocks

I have no clue how to go about reserving hotel room blocks. I've gotten quotes and all using wedding wire, but how am I supposed to know how many rooms? I know a couple of people have mentioned wanting to get a room, do I ask everyone? Should I estimate? What happens if at the end I needed more rooms? I'm probably overthinking this ... any advice would help though

    Some people say room blocks aren't necessary - however I was able to get a pretty good discount for our rooms.

    We went directly through hotels, so we could talk with them directly and negotiate the best price. We also have a block that has our rooms blocked until the day our RSVP are due - then they will be opened to the general public. We don't have to pay for a minimum number of rooms - which is what some hotels require.

    We originally booked 15 rooms, and when those started to look full (we can check online to see what rooms and who booked them), we asked for more. We thought we would need around 15, and we're currently up to 22 rooms and know about 10 more than have asked or plan to book them.

    Check out your guest list, and see who you would think might need a room - and make sure you don't have to pay for a minimum number of rooms!

    The team here on WW actually handled and set up my entire room block for me , we got a discount and blocked 20 rooms ( make sure you dont have to pay for unused rooms) it came in handy becuase half the wedding guests are out of state and wanted to know where to book i just sent them the link i was given here and they could contact them

    First of all, there should be no cost to you to do a room block.

    Most hotels have a specific number of rooms they will block. Ex: 30. You need to ask the hotel if 1) they will let you know when the block gets full or close to full and 2) if you can then add additional rooms to the block if necessary, or if that is their max. Any rooms that aren't booked after the cut-off date should just be released back to the regular price and there should be no cost to you.

    Put information about the room blocks on your accommodations card in your invites and on your wedding website. Make sure to include the cut-off date for the discount. It is first come, first served for guests to reserve their rooms. Its okay to text VIPs like family and bridal party as it gets close to the room block cut-off date to remind them to book their rooms if they want the discount. Otherwise, just let adults be adults - if they miss out on the discount, they can get a room at the regular rate or stay elsewhere.

    Call the hotel and deal with them directly. They have people who focus solely on room blocks usually. Ask their advice. My hotel provides a free shuttle if I fill a certain amount of rooms! May help to actually talk to someone. Hidden perks!

    I set up an account through reservations.com. you can just request room blocks or your quest can get discounted rates for contracted hotels without a specific hotel.
