Providing meal for photographer

M&SC, on June 6, 2015 at 3:03 PM Posted in Planning 0 48

In our contract with our photographer it says that if we hire them for a job over 4 hours (we are having them for 8) we must provide a meal for them. Anyone else having to do this? Obviously we are serving food at our reception, but for them to eat that food, we would have to include them in our guest count, which we do not want to do. What is everyone else doing? Is it ok to buy them something simple like a prepackaged meal from the grocery store like a salad or sandwich? I would ask them ahead of time about dietary restrictions or preferences.

@Yellowbird5, you include all your vendors in the guest count.

ETA: And absolutely do not go somewhere and buy them some picked over sandwich. You feed them what you are feeding your guests.

The vendors on here are going to be miffed out this one.

No, its not ok, u should include them on your head count, or talk to your cater, sometimes they provide meals for vendors. dont buy them a sandwich or salad---- would you like to be fed a salad during a 8 hour work day ??

I am also required to provide meals for my photographers (2) --they are there working their asses off to make ME look good in pictures -its only right i feed them a good meal.

    unbelievable.

You need to include them in your guest count. That's so rude to feed your guest filet mignon (as an example) and the vendors get a sandwich.

@Yellowbird5, just in case, if they have an assistant, include him/her as well. Don't make them share a plate.

Be nice. Smiley smile Sometimes people don't know that you're expected to feed your vendors. It's a good thing she asked.

Um, yes. They deserve reasonable food! How would you like to work 8 hours for a lousy sandwich? Ask your venue-typically they will provide a vendor meal at a lower rate.

@Alex vendors are PEOPLE, who are working for you, not some kind of different species. it is rude to want to feed them a salad just to save a few bucks (i assume) --thats common sense.

Yes, they should get the same food as everyone else. Most caterers provide a discount for vendors. Ask them. You should feed your DJ and DOC as well (or any other vendor that is working the entire event).

You have to include EVERY VENDOR who will be attending for more than 4 hours - this includes your Officiant (many are personal friends of the bride/groom and will not immediately leave), the DJ, the photographer and their assistant(s), the videographer, the DOC, and in some cases the venue coordinator if it is just one or two people and not a staffed venue like a country club.

I'm having a table reserved for my vendors, they are eating the same thing as my guests and are getting favors. Honestly if it wasn't for our amazing vendors: photographers, videographers, dj, entertainers etc we wouldn't be having our fabulous weddings.

I have 13 people at my vendor table

I have 3 people in my dj package coming: 1 dj, 1mc and 1 tech assistant

I have 8 people for my video and pictures: 2 photographers with assistants and 2 videographers with assistants

    and 2 aeralists for entertainment

You should feed any vendor who will be at your wedding for a significant amount of time. This usually includes photographer, videographer, DOC, and DJ at minimum. You would not have to feed vendors who are just there for an hour or so to set up, such as the cake person or florist. The officiant is typically given an invitation to the reception and can decide whether or not to attend.

Some venues offer "vendor meals" but it is better to give them the same meal as guests. They do not have to have favors, open bar, or sit among guests though. The are not guests, they are hired to do a job.

Feed them reception food. I included every vendor in our guest count. Please tell me you were kidding about the packaged food or sandwich ? Don't do it girl, your vendors won't take that too kindly. IMO

Most venues will offer a lower priced vendor meal. We are feeding our DJ and our photographer. Our officiant is a very close friend so he will be getting the regular guest meal. You should always, always feed vendors such as photographers, videographers, and DJ's. You don't want to be a bad customer.

Our venue says we don't have to include any vendors in our guest count- so they are fed for "free"

It is common practice for photographers to stipulate that they be fed. It's in our photographer's contract. Even if it wasn't I'd still offer her a meal. Talk to your caterer, see if they offer vendor meals at a lower rate. If not, then you'll just have to include them in your guest count. Please don't give them gas station food...that's just stingy and inconsiderate.

Come to think of it, you should also have snacks available for the photographer if they are going to be with you ALL DAY. For example my photographer will be with me for 8+ hours, I am going to have a fruit and cheese & cracker tray set up for them to munch on because they will be with me during the "lunch hour". I mean yes we are serving a massive dinner but I don't want them to be starving until we eat at 5.

@GrayCatVintage I'm doing the same. I've hired a local shop to make a snack basket for them all. Fruit, cheeses, drinks, and some chocolates.

Our venue offers a hot vendor meal. Its the same as my guest but not the open bar portion. Ask your venue if they have something like that. We are feeding all our vendors that will be there over four hours DJ,DOC, 2 photographers, videographer and photobooth guy.
