Outside Vendor Fee

Alba, on June 17, 2020 at 1:37 PM Posted in Planning 0 5

PLEASE HELP! Hello! I really need your input because I don’t know what to do. I signed my contract with my venue and read it through. They only say on the contract that vendors must present their insurance. It doesn’t mention any other restrictions. I also asked the planner that was helping me book the venue if there were any restrictions on who I can hire as a vendor and he said they just have to be insured and licensed. Now the venue sales person finally contacted me after a week. By now I’ve already hired my DJ and photographer. She told me that I had to use their preferred vendors list. If I bring an outside vendor they have to approve of them (understandable) and I have to pay a $300 fee for each outside vendor. But that wasn’t in the contract! I don’t want to pay an extra $600 for no reason when I’m trying to save money where I can. What do I do?

If it was not in the contract then you definitely should not have had to pay that and if you had to have used their list they should have told you that from the very start!

I would bring up the fact that this was not in the contract and not mentioned to you prior to signing. See if you can politely convince them to drop it. Don't be afraid to ask for their supervisor.

I would definitely question the contract, also go back to your planner and ask all this again. Refer to dates / names of people you spoke with and provide specifics and definitely don't be afraid to get someone higher up involved.

Resend them a copy of the contract highlighting the portion that discusses vendors and that it does not mention any fees or approvals just licensing. If they try to deviate from the contract inform them that you will get a lawyer involved. Some people will try to get over on you if you’re not firm with them.

If anyone was wondering I did talk to them and they said that I didn’t have to pay the fee for the vendors I already booked but going forward I have to use their preferred vendors.
