Hello everyone I live in southern California and it gets pretty warm during summer. I'm thinking probably 90s to be honest. The venue is all outdoors though there is a patio of sorts with a roof where the reception will take place. The ceremony begins at 4:30 so I'm hoping it will start cooling down by then. I'm concerned though that it may be too hot still and am needing ideas of how I may help alleviate this. The dress attire will also be semi formal and I do not expect people to come dressed in floor length dresses and tuxes so maybe I could suggest on our wedding website wearing light clothing and warning people ahead of time of the venue set up and such?

I would definitely see if you can move the time back -- the hottest part of the day is usually around 3, so even though it will be (hopefully) cooling off by 4:30, it's still going to be HOT. Otherwise, I'd make sure you have shade, fans (both handheld and big industrial fans, honestly), and lot of cold beverages.

Okay, I already have the invites. What can I do to alert people of a change in time?

I get migraines due to heat so anything above 80 I can't be outside for longer than 20-30 minutes before a migraine starts to form. Honestly I would probably stay for the ceremony, maybe food if it came out quickly, and leave. I think moving the time closer to sunset would be smart. 4:30 seems later but the sun is still beaming down. I went to a wedding at 5 pm and the sun was still unbearable.

If you have time for the invites you can see if you can get them reprinted. Otherwise, I would include an insert that says "Due to potential hot weather and an outside location, ceremony and reception times have been adjusted to a 6 pm start" or whatever time you pick. That way guests know that it is an outside location. Stock up on water (people will go through a bottle so quickly). and don't be upset if people leave early.

It seems early to have sent invites already. I would send out a second card that said there was a change of time.

ETA: My comment doesn't make sense because OP hid her post saying that she already sent invites.

Well, invitations are already done. Would the combination of informal clothing and fans atleast help out my situation.

Fans are nice if you are right next to them, otherwise they don't do much. I'd have fans, shade and move the time as close as you can to the sun going down. Even if you do a 7 pm ceremony, no cocktail hour and reception 7:30 - 11:30 would be better.

If it is in your budget rent a tent with air conditioning and possibly see if your venue has a well shaded area for the ceremony if you are set on having it outdoors. If not then most people will skip the ceremony and leave the reception early.

Brieliz gave you a fantastic idea - add an insert with your invitations saying you are changing the time to a later start. If you've already sent them, you sent them too early, so now you need to call each guest if you change the time.

Unless your definition of "informal clothing" includes bathing suits, your guests will be uncomfortable. I went to a wedding last year that was in the upper 80s and people are still talking about how miserable they were and how gross they felt. No one ate, no one really danced - it was just too hot, even under a tent with industrial fans. Call your guests, move the time, and still rent fans.

So do you just have the invites in hand or did you send them already?

If they've already been sent, you need to contact each guest and let them know.

If they haven't been sent yet, you should eat the cost and order new invitations. Adding in a card noting a time change could possibly be confusing.

@Heather Renting a tent would be impossible because the reception area is on a covered patio.

I agree with @LG - move the time back to after sunset, and eat the cost to order new invitations.

@flightyflutist I sadly can not afford an entire new set of invites.

Well, I don't know what you're looking for then, other than validation that it will all be okay.

And frankly, I don't think it will. I feel horrible for the poor grandmas who will faint from heat stroke.

@flightlyflutist Why do you think an insert will not work??

^^ What @Sarah said. And like @LG said, it's confusing. It's better than nothing, I guess. But I think you'll need to follow it up with contacting every damn guest to make sure they're clear on the time.

@OP then I would be calling the guestlist and letting them know. If you have a wedding website, update that as well. At this point it sounds like pushing the wedding until later is your only option. I'd still rent the industrial fans, at least if it is later the fans may push cooler air (provided the temperature goes down). I'd also still provide a water station. The temperature may drop but I doubt it'll be significant enough that it won't still be warm (I don't live in CA so this statement could be wrong).

Jennifer - how about misting fans? Assuming it's not very humid where you are, these could create some real relief.

I quickly googled and you can probably rent them. http://www.elegantmist.com/

i have been at parties where it was hot and there were misters. The mist is so fine that it doesn't mess up clothing or make up.

And you could always do handheld fans as wedding favors. Print a program, or something about you and the wedding party etc. on nice cardstock.

Add a wooden stick and a ribbon. Place them near the entrance in a basket.
