Is day-of-coordinator responsible for keeping people on schedule?

Aubrey, on June 27, 2023 at 6:40 PM Posted in Planning 0 6
Our day of coordinator did everything that seems typical-made us a detailed chronological itinerary, coordinated loadin times with vendors, etc.

However, my wedding party ran late to the venue because of photos despite HAMU being done on time, and the coordinator never stepped in and said anything or gave time warnings. We had 10 people over there and although they are reasonable and didn’t cause problems, 10 people need direction.
At the venue, photography continued to go over time and DOC continued not to say anything or intervene.
We ended up getting an hour behind. We were going to get 20 minutes dancing with our guests and we were able to extend by an hour, but at an expense over $2,000.
Later we reached out to the company about the situation. They told us the timeline was tight to begin with (we were never told this, and if that’s the case, wouldn’t it seem the DOC’s job to give more time warnings?). They also told us they received the photo list from our photographer on the day of the wedding after asking for it 3 times and didn’t have enough time to process it (yet they never reached out to me for this; I had it and could have sent it to them).
Are these things the DOC should have been expected to do or are these more the fault of photographer or other vendors?

I think this really depends on what was stated in your contract. Did your contract explicitly state that the DOC would keep you on a strict schedule?

That’s not even something that should have to be written down. That’s the entire job of a DOC. Like they are there to keep the day running smoothly and on time. And stepping in when it’s not. I’m sorry that happened to you. It doesn’t sound like your DOC was paying attention or properly doing their job

I agree with Taylor. Keeping the timeline on track on the wedding day is the main purpose of a day of coordinator, and I'm surprised they didn't step in to try to find a way to get the schedule back on track when they noticed that the photos were taking longer than planned. As for the other things you mentioned, it sounds like the DOC also dropped the ball in the weeks leading up to the wedding. If they asked your photographer multiple times for the photo list and didn't get it, they should have told you, along with letting you know about any other info that they still needed in advance of the wedding day. If you haven't already, I would leave some reviews online about your experience with this DOC. Sorry that this happened!!

I’m still a few months out from my wedding, and my DOC has already been on top of us about pit schedule, reviewing the timeline we got from the venue and making suggestions, etc. Other than helping to set out personal items, I can’t think of any bigger role the DOC has than keeping track of the schedule.

This is what many are responsible for. Clarify before you sign contracts what they will do and not do

I have been a wedding coordinator for several years and I always work with the photographer
In keeping the wedding group on time. If you are not careful and stick to the timeline you will run into the ceremony and the bride will not have any down time to prepare for the ceremony. So yes it is both the coordinator and photographer job to stay on time.
